Overview
Reporting directly to the Owner, the Administrative Assistant will play an important role in the day-to-day handling of investigation files from initial intake through completion.
This position requires someone who is highly organized, detail-oriented, and comfortable managing multiple files, priorities, and deadlines. Responsibilities will include file intake and preparation, report editing and proofreading, client correspondence, monitoring file timelines, video editing, record keeping, and general administrative support.
The successful candidate will work closely with investigators and management to ensure files are accurate, properly maintained, and completed within required timelines.
Key Responsibilities
- Conduct file and document intake, setup, and preparation
- Review, edit, proofread, and format investigative reports and client correspondence
- Ensure client inquiries and requests are responded to promptly and professionally
- Monitor investigation files to ensure service requirements and deadlines are met
- Maintain accurate and organized electronic investigation files and records
- Perform basic video editing and preparation of investigative video
- Assist with data entry, research, filing, and database maintenance
- Communicate with investigators regarding assignments, reports, outstanding information, and file requirements
- Provide general administrative support to management and the investigative team
- Maintain strict confidentiality when handling client, claimant, and investigation information
Requirements
- Efficient time management and ability to work under stress
- Clear, concise, and articulate communication skills
- High level of professionalism and confidentiality
- A strong proficiency and skilled user with word processing, spreadsheets, and database applications
- Pro-active and highly resourceful
- High attention to detail
- Minimum high school diploma; a college diploma or university degree is an asset
- Administration and clerical experience
This is a virtual/hybrid role; however, the successful applicant must be able to reliably commute to the office in Georgetown, Ontario.
