Working closely with our Fractional CMO, you’ll triage marketing requests, steward our brand and template library, coordinate vendors and freelancers, execute paid and organic campaigns, and keep our internal and external communications on schedule. Position Summary
Reporting to the Fractional CMO, the Marketing Coordinator owns the single intake door for all marketing requests across Group23’s mandates, triaging each to the appropriate template, vendor, or the Fractional CMO. This role stewards Group23’s brand asset and template library, quarterbacks our digital presence and event coordination, executes our booking and capacity marketing playbook, and supports organizational communications and collateral — ensuring every touchpoint reflects Group23’s purpose, mission, and core values.
Duties and Responsibilities
Marketing Intake & Triage Operations
Own and manage the single intake door for all marketing requests, ensuring every request is captured and actioned
Triage each incoming request to the appropriate mandate, template, freelance vendor, or the Fractional CMO
Maintain the intake queue and provide regular status updates on active requests, priorities, and outstanding items
Coordinate day-to-day communication with freelancers and vendor partners to ensure timely delivery against briefs and deadlines
Brand Asset & Template Stewardship
Own and maintain the Group23 brand asset library and master template inventory across all mandate areas
Serve compliant templates to requestors — including HR, Practice Leads, and clinic teams — ensuring templates reflect current brand guidelines and requirements
Brief the freelance designer for non-templated or custom asset requests
Conduct regular audits of the asset library to ensure accuracy, currency, and version control
Digital Presence, Content & Event Coordination
Quarterback the external vendor stack for digital presence: website partner, social media freelance, and sponsorship partners
Maintain and execute the editorial calendar; produce basic in-house content (social posts, website updates, email campaigns) within established brand templates
Coordinate clinician and staff schedules to support freelance content capture (video, photography, interviews, and quotes)
Serve as the primary point of contact for promotional events: coordinate logistics, branded materials, staffing, and post-event follow-up
Support sponsorship activation and partnership deliverables as directed by the Fractional CMO
Booking & Capacity Marketing Execution
Execute our Booking & Capacity Marketing playbook, deploying the appropriate tactic to fill booking softness across private-pay services
Serve as the primary PPC campaign operator: manage day-to-day execution of paid digital campaigns and report on performance
Coordinate with the digital agency for new campaign or channel setup
Monitor capacity signals, identify anomalies, and escalate with context and recommended response
Organizational Communications & Collateral Support
Own the weekly communications and monthly internal newsletter end-to-end, from content collection through distribution
Fulfill people-tied collateral requests (business cards, name tags, headshots, biographies, email signatures, milestone gifts)
Support clinic and patient-facing materials (signage, brochures, posters, referral pads) with compliant templates
Maintain internal templates on SharePoint and provide production support for major internal touchpoints and events
Knowledge, Skills, and Abilities (KSAs)
Knowledge

Privacy legislation for healthcare and business operations
Digital marketing fundamentals: social media, content marketing, email marketing, and paid digital advertising (PPC/SEM)
Brand management principles and application of brand guidelines across print and digital materials
Project and vendor coordination practices in a multi-stakeholder environment
Skills
Excellent verbal and written communication; professional etiquette in all internal and external communications
Strong interpersonal skills: ability to work effectively with clinicians, practice leads, vendors, and senior leadership
Planning, organizing, and attention to detail across simultaneous projects, briefs, and intake requests
Proficiency with Canva or equivalent design tools, social media management platforms, email marketing tools, and Meta/Google Ads
Proficiency with Microsoft SharePoint, Teams, Outlook, Word, and Excel
Abilities

Work independently and manage multiple competing priorities with minimal supervision
Work collaboratively across clinical and administrative teams
Maintain a high level of confidentiality with respect to patient, staff, and organizational information
Learn and apply new tools, software, and marketing channels quickly and effectively
Qualifications
Post-secondary diploma or degree in Marketing, Communications, Business Administration, or a related field (an equivalent combination of education and experience will be considered)
1–2 years of experience in a marketing, communications, or coordinator role; healthcare or multi-site clinic experience is an asset
Demonstrated experience managing social media accounts, email campaigns, and digital content
Experience coordinating external vendors, freelancers, or agency partners
Experience with paid digital advertising (Google Ads, Meta) is preferred
Google and Meta Ads/PPC fundamentals; Google Ads certification is an asset
Familiarity with email marketing platforms, social media management tools, website CMS platforms, and project management tools
Police Information Check required as a condition of employment
