Responsibilities
Client File Administration
- Assist with setting up new client files and rolling forward existing CaseWare engagements
- Upload, organize and maintain electronic client documentation
- Maintain and update client tracking spreadsheets and engagement status
- Archive completed client files in accordance with firm procedures
- Assist with maintaining accurate client information across firm systems
Financial Statement & Corporate Tax Administration
- Format financial statements and related documents in accordance with firm standards
- Prepare engagement-related documents for client signature, including T183s, representation letters and acknowledgement letters
- Coordinate electronic signature requests through OneSpan and email
- Confirm required documentation has been received before filing
- Coordinate with the Production Team to E-file corporate tax returns and retain filing confirmations
- Review and send final client packages including financial statements, tax returns and correspondence
Personal Tax Administration
- Send annual information request packages to clients
- Receive, organize and file client tax documentation
- Maintain personal tax tracking reports
- Prepare T183s, HST returns and T1135 forms for signature where applicable
- Follow up with clients regarding outstanding information and signed documents
- Assist with electronic filing of personal tax returns
- Prepare and distribute completed tax packages
- Archive completed tax files
Billing & Administrative Support
- Finalize invoices once approved
- Prepare and distribute client invoices
- Assist with personal tax invoicing during tax season
- Maintain billing records and follow up on outstanding administrative items
Client Service & Team Support
- Respond to routine client inquiries and direct requests to the appropriate team member
- Coordinate client document requests and resend previously issued reports when required
- Liaise with internal departments to support client engagements
- Assist with annual return coordination and other compliance-related administrative tasks
- Provide general administrative support to the Tax & Assurance team
- Assist with special projects as assigned
Skills and Experience
- Post-secondary education in Office Administration, Business Administration or a related discipline is considered an asset
- Previous administrative experience in a professional office environment preferred
- Experience in public accounting is an asset but not required
- Strong Microsoft Office skills, particularly Outlook, Word and Excel
- Experience with document management software is considered an asset
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Exceptional attention to detail
- Ability to manage multiple priorities while meeting deadlines
- Commitment to providing outstanding client service
- Ability to work independently while contributing to a collaborative team environment

The annual salary range for this role is: $45,000 - $75,000.
