We are seeking a highly organized and detail-oriented Admin Coordinator to join our team. This role is essential in managing administrative tasks, supporting office operations, and ensuring smooth communication across departments. Responsibilities
- Coordinate daily workflow between appraisers, clients, lenders, and other stakeholders to ensure timely completion of appraisal assignments.
- Monitor emails and respond to client inquiries, appointment requests, and appraisal-related correspondence in a professional and timely manner.
- Answer and direct incoming phone calls, providing information, resolving inquiries, and ensuring exceptional customer service.
- Create and process new appraisal orders, verify assignment details, and enter information accurately into the company’s appraisal management system.
- Coordinate timelines between appraisers, clients, and property contacts.
- Review appraisal reports for completeness, accuracy, formatting, and compliance with client and company requirements prior to submission.
- Submit finalized appraisal reports through client portals and appraisal management systems while ensuring adherence to deadlines and service standards.
- Prepare and issue invoices, monitor payment status, and assist with accounts receivable follow-up as required.
- Maintain accurate records of orders, reports, correspondence, and client documentation.
- Track assignment progress and proactively communicate status updates to appraisers, clients, and management.
- Assist with administrative projects, report editing, document preparation, and process improvements to enhance operational efficiency.
- Maintain a high level of confidentiality, attention to detail, and professionalism while handling sensitive client and property information.
Position Requirements:
- Minimum 1 year of administrative support experience in a professional services environment
- Must be comfortable operating in a fast-paced environment
- Must have excellent written communication and interpersonal skills
- Highly organized with good time management skills
- Strong writing skills
- Strong Microsoft Office skills and typing proficiency
- Self-motivated with the ability to ability to lead others and work independently
Pay: $19.00-$21.00 per hour
