About the Role
The Scheduling & Logistics Coordinator is responsible for coordinating staff schedules, managing logistics, overseeing event calendars, and ensuring equipment, vehicles, and personnel are in the right place at the right time. This position is essential to the smooth day-to-day operations of our growing company.
Responsibilities
- Build and maintain employee and contractor schedules
- Coordinate staffing for weddings, corporate events, and special events
- Schedule deliveries, pickups, installations, and event tear-downs
- Coordinate warehouse logistics and equipment movement
- Communicate schedules and changes with employees and contractors
- Monitor staff availability and approve shift assignments
- Assist with route planning for delivery teams
- Coordinate vehicle usage and logistics
- Ensure event timelines are accurately reflected in company calendars
- Track staffing requirements and identify scheduling conflicts
- Work closely with Event Managers, Warehouse Team, Venue Managers, and Ownership
- Assist with labour forecasting and staffing needs
- Assist with operational planning during busy seasons
- Provide administrative support related to logistics and operations
- Respond quickly to last-minute scheduling changes and emergencies
- Help improve scheduling systems and operational efficiencies
Qualifications
- Previous scheduling, logistics, operations, or administrative experience
- Exceptional organizational and time management skills
- Ability to manage multiple priorities simultaneously
- Strong problem-solving abilities
- Excellent verbal and written communication skills
- High attention to detail
- Ability to work independently while collaborating with multiple departments
- Proficiency with Microsoft Office and Google Workspace
- Experience with scheduling software Connect Team is considered an asset
- Valid Saskatchewan driver's licence is required
