THE ROLE
We're hiring a Project Coordinator to independently manage and execute 3 to 5 residential construction and renovation projects at a time, reporting to our Project & Operations Manager. You'll be the day-to-day point of contact for clients, subtrades, and internal staff on your projects, covering client interface, scope of work, scheduling, cost management, and administration. This is a hands-on, detail-driven role for someone who thrives on keeping multiple moving pieces on track and proactively solving problems before they become delays.
WHAT YOU'LL DO
Daily Coordination
- Maintain a clear day-to-day overview of progress on your assigned projects, coordinating daily schedules with Foremen, Lead Hands, and labourers on those sites
- Visit job sites throughout the week to conduct thorough walk-throughs, ensuring project design and scope are being met
- Schedule bi-weekly walk-throughs with the Design Lead to confirm design details are being executed according to drawings
Client & Trade Interface
- Serve as the first point of contact for clients for the duration of their project
- Provide written weekly progress updates to clients, including upcoming schedule
- Coordinate activities with Project Forepersons, Designers, subtrades, and approving authorities
- Manage subtrades and project schedules, and secure multiple estimates from trades as needed
- Oversee quality control through on-site punch lists, through to project completion
Scope
- Manage and execute all aspects of construction and associated landscape construction projects to KingsRidge's standard of craftsmanship
- Review, interpret, and understand construction drawings and specifications, assisting in the resolution of design issues
- Compile and organize all necessary permit documents for municipal building department approval
- Inspect ongoing work to ensure it's being done safely, efficiently, and to Company and Ontario Health & Safety standards
- Anticipate project challenges, proactively solve problems, and clearly communicate solutions to your team and clients
Schedule
- Develop and maintain a schedule of events for each project, tracking tasks and deadlines in BuilderTrend
- Quantify, plan, and oversee orders and deliveries of supplies and materials to meet project milestones
- Schedule subtrades for weekly tasks, verify completed work against scope, and confirm subtrade invoices match agreed pricing
Cost Management
- Monitor job progress and costs, ensuring change orders and revisions stay within approved budgets
- Provide regular progress reporting to the Office Coordinator and Management
- Collect, review, and approve subtrade pricing prior to project commencement
- Ensure client invoicing is accurate and current, and that contract payments stay on schedule
Administration
- Maintain required records and technical reports, including inspections, saved on the company server
- Review site staff's daily logs in BuilderTrend, making adjustments to confirm conditions and progress match project scope
- Use Gmail, BuilderTrend, and cloud file storage as your core communication and record-keeping tools
WHAT WE'RE LOOKING FOR
- 3+ years of experience in residential project coordination
- 2+ years of experience in professional, client-facing project or account management
- 2+ years tracking daily activities in a project management software platform
- Working knowledge of BuilderTrend or a similar cloud-based construction management platform (BuilderTrend experience a strong asset)
- Familiarity with residential construction drawings, specifications, and the Ontario municipal building permit process
- Valid G driver's license and reliable vehicle; this role requires regular travel between job sites across York Region
- Strong written communication skills; comfortable composing professional correspondence to clients
- A proactive, detail-oriented problem-solver who's comfortable being the point person on multiple active projects at once
Pay: $65,000.00-$80,000.00 per year
