Job Title: Capital Project Coordinator
Job Summary: The Capital Project Coordinator supports our organization’s vision by helping plan and organize capital projects that create safe, welcoming spaces for our community. This role ensures projects are well-tracked, resources are gathered responsibly, and clear communication flows between all partners involved. The Coordinator works closely with internal teams, contractors, and community partners to keep projects moving forward in a good way.
Key Responsibilities:
Project Tracking & Organization:
· Keep detailed records of all capital projects, including budgets, schedules, milestones, and deliverables.
· Monitor progress and prepare regular updates for leadership and funding partners.
· Help identify and address any delays or challenges early on.
Meetings & Communication:
· Organize and schedule project meetings, site visits, and community discussions.
· Prepare agendas and supporting documents for meetings.
· Take clear notes, record action items, and follow up to ensure commitments are carried out.
· Share information in a timely and respectful way with team members and partners.
Resource Gathering & Coordination:
· Research and connect with local suppliers, contractors, and service providers.
· Assist with obtaining quotes and working with the procurement process.
· Help track and organize contracts, purchase orders, and project-related paperwork.
Learning & Compliance:
· Learn about city codes, building regulations, safety requirements, and permitting processes relevant to capital projects.
· Support the project team in ensuring all work aligns with local by-laws and standards.
· Help gather and submit necessary documents for permits and inspections as required.
Relationship Building & Support:
· Build and maintain positive relationships with community members, contractors, and other partners.
· Support clear and open communication between all parties to honor timelines and commitments.
· Prepare presentations, updates, and summaries for leadership, funders, and community gatherings as needed.
Administrative Support:
· Maintain well-organized electronic and physical project files.
· Assist with budget tracking and organizing invoices and receipts for processing.
· Provide general administrative support to ensure projects run smoothly.
Qualifications:
· Diploma or certificate in Project Management, Business Administration, or a related area is an asset.
· Minimum 2 years’ experience in coordination, administration, or similar support role; experience working with capital or construction projects is helpful.
· Strong organizational skills with attention to detail and ability to manage multiple tasks.
· Respectful communication skills, both written and verbal.
· Comfortable using Microsoft Office (Word, Excel, Outlook and basic project tracking tools.
· Ability to work independently and as part of a collaborative team, honoring community values and protocols.
· Alberta Class 5 License, satisfactory drivers abstract, a vehicle an asset.
· Criminal Record Check with Vulnerable Sector Check
Working Conditions:
· Primarily office-based with some visits to project sites.
· May require flexibility in hours to attend meetings or respond to project needs.
