Full-time position: Monday – Friday, 10:00 AM – 6:00 PM (No weekends!)

As our Medical Office Assistant, you are the heartbeat of the clinic, ensuring that every client journey, from a simple consultation to an invasive skin procedure, is seamless and welcoming. Duties and Responsibilities
Patient Experience & Frontline Interaction
- Create a welcoming, high-end boutique environment for every client.
- Manage the "first impression" via professional telephone, text, and email correspondence.
- Check-in patients, manage intake processes, and ensure the clinic aesthetic is maintained throughout the day.
- Handle Point of Sale (POS) transactions and cash handling with accuracy and discretion.
Information & Records Management
- Manage detailed client scheduling and electronic medical records using Accuro EMR.
- Organize and protect sensitive patient medical information.
- Maintain accurate invoicing and client databases.
- Ensure all record-keeping and note-taking meet clinical standards.
Clinical Operations & Support
- Proactively manage product inventory, including tracking and restocking high-value skincare lines.
- Execute opening and closing duties to ensure the clinic is "client-ready" at all times.
- Support practitioners by ensuring the right information reaches the right provider at the right time.
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
Knowledge
- Eagerness to learn the aesthetics industry and the diverse range of treatments offered (Lasers, Neuromodulators, Fillers, Thread Lifts).
- Proficiency in privacy legislation (HIA/PIPA) relevant to private medical services.
- Willingness to take direction and operate in a dynamic team environment.
Skills
- Advanced proficiency in Accuro EMR, Windows and Outlook, and the Google Workspace (Docs, Sheets, Drive).
- Exceptional written and verbal English skills with a "concierge-level" professional tone.
- High-level attention to detail; able to juggle complex scheduling in a busy environment.
- Ability to multi-task and manage competing priorities.
Abilities
- Independence: Ability to work autonomously and take initiative without constant supervision.
- Empathy: Support clients on their aesthetic journeys with compassion and non-judgment.
- Growth Mindset: A desire to learn new software, products, and clinical processes as the industry evolves.
Qualifications
- Required: Proven experience and training with Accuro EMR.
- Education: Certificate or diploma in Medical Office Assistant or a related discipline.
- Experience: Minimum 1 year in a medical office, ideally within medical aesthetics or a private medical environment.
- Tech Savvy: Proficiency in Outlook, and Google Suite.
- Professionalism: Polished appearance and demeanor suitable for a high-end clinical environment.
