Position Overview:
We are seeking an organized and proactive Medical Office and Pharmacy Admin Assistant to join our dynamic team. The ideal candidate will have prior experience in a medical office and/or pharmacy setting and will assist the Operations Manager with daily operations, vendor communications, invoice follow-ups, payment tracking, inventory management (including medical supplies and pharmacy products), calendar coordination, and billing support. Strong analytical skills and working knowledge of Microsoft Excel are required for organizing data and generating reports. Experience in administration or team coordination is also highly desirable.
Key Responsibilities:
- Process and submit billings for the clinic
- Fax invoices and reconcile payments/cheques
- Download and organize reports, ensuring accuracy in data presentation
- Follow up on accounts receivable to ensure timely closure of unpaid invoices
- Manage inventory for clinical supplies and pharmacy products, including vaccines from public health
- Assist senior management with daily administrative tasks and operational support
- Coordinate staff schedules and maintain calendar management for the clinic and pharmacy
- Handle vendor communications, including purchase orders, deliveries, and invoices for both the medical office and pharmacy
- Support with additional operational duties as assigned by the Operations Manager
Qualifications:
- Previous experience in a medical office, pharmacy, or healthcare administrative role
- Strong verbal and written communication skills in English
- Proficiency in Microsoft Excel and MS Office Suite (Word, PowerPoint, Outlook)
- Ability to multi-task and manage competing priorities effectively
- Highly organized and detail-oriented with excellent follow-up skills
- Strong problem-solving abilities and a self-starter with initiative
- Punctual and reliable, with a passion for growing and developing in a supportive environment
- Experience in billing, vendor management, and inventory control is a plus
Preferred Skills:
- Experience working in a healthcare, clinical, or pharmacy environment
- Analytical mindset, comfortable with organizing and interpreting data to generate reports
- Prior experience supporting senior management or teams with administrative and coordination tasks
