Position Summary
The Maintenance Supervisor is responsible for overseeing the maintenance, repair, operation, and overall physical condition of a portfolio of industrial and commercial properties. Reporting to the General Manager and working closely with the Property Management team, the Maintenance Supervsior ensures all properties are maintained in a safe, efficient, cost-effective, and environmentally responsible manner while delivering exceptional tenant service.
This position combines leadership, technical oversight, contractor coordination, preventative maintenance planning, project management, and hands-on operational support as required. The Maintenance Manager supervises maintenance staff, vendors, and contractors while ensuring all work is completed to company standards, applicable legislation, and operational objectives.
Reporting Structure
The Maintenance Supervisor reports directly to the General Manager and works collaboratively with the Property Manager, Office Administrator, contractors, tenants, and service providers.
Key Responsibilities
Building Operations & Maintenance
· Oversee the day-to-day maintenance and operation of industrial and commercial properties.
· Ensure all building systems are operating effectively, including HVAC, plumbing, lighting, roofing, fire protection systems, overhead doors, and life safety systems.
· Conduct daily, weekly, and monthly property inspections to identify deficiencies, safety concerns, maintenance requirements, and preventative maintenance opportunities.
· Troubleshoot operational and maintenance issues and implement practical and cost-effective solutions.
· Coordinate and perform building repairs and maintenance activities where appropriate.
· Ensure emergency exits, sidewalks, parking areas, and common areas remain safe, accessible, and properly maintained.
· Monitor lighting systems, complete meter readings, inspect fire extinguishers monthly, and coordinate fire watch requirements where necessary.
· Maintain preventative maintenance schedules and ensure timely completion of maintenance activities.
· Ensure all maintenance records, inspection reports, SOPs, log books, and operational documentation are accurately maintained.
· Maintain company inventory of all tools including fleet of vehicles and equipment.
Contractor & Vendor Management
· Coordinate, supervise, and inspect contractors, vendors, and trades performing work at company properties.
· Obtain and evaluate quotations, estimates, and pricing for maintenance and repair projects.
· Review job costing and identify opportunities for operational efficiencies and cost savings.
· Ensure contractor compliance with insurance, WSIB, licensing, OH&S requirements, and company procedures.
· Inspect workmanship and authorize completion of work orders and contractor performance standards.
· Coordinate snow removal, landscaping, waste management, and exterior maintenance contractors to ensure service expectations are met.
Tenant Relations & Customer Service
· Maintain effective and professional communication with tenants, contractors, and vendors.
· Respond to tenant maintenance requests, service calls, and operational concerns in a timely manner.
· Coordinate maintenance activities with tenants to minimize disruption to operations.
· Promote strong tenant relationships through responsive service and proactive communication.
Health, Safety & Compliance
· Ensure properties comply with all applicable building codes, fire regulations, environmental standards, and Occupational Health & Safety legislation.
· Promote safe work practices and ensure the proper use and maintenance of personal protective equipment (PPE).
· Report and address unsafe conditions, hazards, and workplace incidents promptly.
· Participate in safety inspections, emergency preparedness planning, and workplace improvement initiatives.
· Maintain MSDS/SDS records and other required safety documentation.
Administration & Reporting
· Maintain maintenance inventory, tool rooms, equipment logs, and material tracking systems.
· Request purchase orders and track work completion and invoicing status.
· Review invoices, maintenance expenses, and operational costs for accuracy and budget compliance.
· Prepare weekly operational updates and maintenance reports for management.
· Participate in monthly property tours and operational planning meetings.
· Ensure accurate completion of maintenance logs, inspection reports, timesheets, and departmental records.
Team Leadership
· Supervise maintenance staff and coordinate daily work assignments and priorities.
· Provide leadership, coaching, mentoring, and performance feedback to team members.
· Promote accountability, teamwork, professionalism, and continuous improvement.
· Assist in developing and implementing Standard Operating Procedures (SOPs).
Emergency Response
· Participate in after-hours and holiday emergency response as required.
· Respond to emergency maintenance, security, weather-related, or operational incidents.
· Coordinate emergency contractors and services when required.
Qualifications & Experience
· Minimum 5 years of experience in commercial or industrial building maintenance, facilities management, or property operations.
· Minimum 3 years of supervisory or management experience.
· Strong knowledge of building systems, maintenance procedures, construction practices, and preventative maintenance programs.
· Working knowledge of the Ontario Building Code and Occupational Health & Safety legislation.
· Experience coordinating contractors, trades, and multiple service providers.
· Strong organizational, leadership, and problem-solving skills.
· Intermediate proficiency in Microsoft Office Suite.
· Mechanical and basic electrical knowledge considered an asset.
· Valid G Class Driver’s License and reliable transportation required.
· Forklift, Working at Heights, First Aid/CPR, Scissor Lift, Confined Space, or Fall Arrest certifications considered assets.

Pay: $70,000.00-$100,000.00 per year
