CP Water Hauling is a family-owned company located in the desirable community of Sylvan Lake. We are currently looking for an experienced, detail-oriented Payroll & Accounts Payable Administrator to join our team. With a fluctuating staff size of approximately 45 to 60 employees based on the season, you will own our full-cycle payroll while also lending your financial administration skills to our accounts payable functions as needed.
Position Overview
You will split your time between managing our end-to-end payroll cycle using Sage 50 Canada and handling core AP workflows. You are comfortable navigating software-driven financial records, tracking data in Microsoft Excel, and balancing multiple priorities in a fast-paced, seasonal environment.
Key Responsibilities
- Full-Cycle Payroll Processing: Accurately process payroll for 45–60 employees using Sage 50 Canada, accounting for variable hours, seasonal onboarding/offboarding, overtime, and deductions.
- Payroll Compliance & Reporting: Prepare electronic paystubs, process Records of Employment (ROEs) promptly through Service Canada, and manage annual T4/T4A distribution.
- Accounts Payable (AP): Assist with full-cycle AP duties as required, including matching invoices, entering vendor bills into Sage 50, processing payments, reconciling vendor statements, and resolving discrepancies.
- Data Management & Reconciliation: Maintain clean financial and personnel records, manage employee changes, and perform regular data tracking and reconciliations using Microsoft Excel (utilizing VLOOKUPs, pivot tables, and formulas).
- Process Improvement: Act as a resource for payroll/AP inquiries, ensure adherence to internal controls and provincial standards, and assist with any upcoming software integrations or process optimizations.
What We Are Looking For
- Experience: 3+ years of combined experience in full-cycle payroll processing and accounts payable, ideally within a Canadian context.
- Technical Mastery: Proven proficiency using Sage 50 Canada for both payroll and AP modules.
- Excel Skills: Strong intermediate-to-advanced Microsoft Excel skills for data management, reporting, and reconciliations.
- Regulatory Knowledge: Sound understanding of Canadian payroll legislation, source deductions (CRA), EI, CPP, and provincial employment standards.
- Bonus Assets: Demonstrated experience in payroll or accounting software implementation, migration, or integration.
- Attributes: High level of discretion with confidential financial information, exceptional organization, and the ability to seamlessly pivot between payroll deadlines and daily AP tasks.
