Overview
We are seeking an organized, dependable, and detail-oriented Bookkeeper / Accounting Administrator to manage the day-to-day bookkeeping and financial administration for a group of related businesses. In this role, you will manage essential accounting functions, ensuring accuracy and efficiency across all financial processes.
Our operations include a real estate/property management division, a film and television production company, and a vehicle and equipment rental business. Our core office team consists of 3 full-time and 3 part-time employees. Because our businesses operates across several different industries, the successful candidate must be comfortable managing multiple companies, keeping financial records well organized, and staying on top of deadlines, receivables, payables, and reporting.

Key Responsibilities
- Manage day-to-day bookkeeping for multiple related companies
- Prepare, send, and track customer and client invoices
- Receive and process incoming invoices from vendors and suppliers
- Manage accounts payable and accounts receivable
- Ensure invoices and bills are paid accurately and on time
- Monitor outstanding receivables and follow up on overdue accounts
- Maintain accurate records of payments received and amounts owing
- Prepare and make bank deposits
- Reconcile bank accounts, credit cards, and other financial accounts
- Maintain organized and accurate financial records for each company
- Record and categorize expenses and transactions appropriately
- Collect and verify employee hours and timesheets for submission to our external payroll company
- Maintain employee payroll records and communicate payroll changes when required
- Track rental payments across our real estate portfolio
- Maintain up-to-date records of tenants who have paid rent, outstanding balances, late payments, and arrears
- Follow up internally regarding overdue rental accounts and provide regular arrears reports
- Track deposits and other property-related financial transactions
- Assist with monthly financial reporting and account reconciliation
- Prepare bookkeeping records and documentation for our accountant
- Assist with HST/GST reporting and other routine government remittances as required
- Maintain supporting documentation for purchases, expenses, invoices, and payments
- Assist with year-end preparation and provide documentation requested by accountants
- Maintain vendor, customer, tenant, and financial files
- Help monitor company cash flow, upcoming payments, and outstanding receivables
- Identify discrepancies and investigate accounting or invoicing issues
- Maintain confidentiality of company, employee, tenant, and financial information
- Provide general accounting and administrative support to management as required
Qualifications
- Previous bookkeeping or accounting administration experience
- Strong understanding of accounts payable, accounts receivable, bank reconciliations, and general bookkeeping practices
- Experience with accounting software such as Sage
- Proficiency with Microsoft Excel and other Microsoft Office applications
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Comfortable following up on outstanding invoices, rent payments, and overdue accounts
- Ability to prioritize responsibilities across several companies and meet recurring deadlines
- Strong written and verbal communication skills
- Ability to work independently and take ownership of day-to-day bookkeeping responsibilities
- Professional discretion when handling confidential financial and employee information
Position Details
Position: Full-Time Bookkeeper / Accounting Administrator
Schedule: Monday to Friday, 9:00 AM to 5:00 PM
Salary: $50,000 per year
This position is well suited to an experienced bookkeeper who enjoys variety and is comfortable working within a small business environment where several companies operate under one organization. We are looking for someone who is proactive, highly organized, dependable, and able to ensure that our financial records, invoices, payments, payroll information, and rental accounts remain accurate and current.
