Fleet & Asset Coordinator

Medallion Energy Services is looking for an organized and proactive Fleet & Asset Coordinator to oversee the day-to-day management of our fleet, equipment, and company assets. This role plays a key part in ensuring our vehicles, trailers, and equipment are safe, compliant, well-maintained, and ready to support our field operations.
Working closely with operations, field personnel, vendors, and management, the Fleet & Asset Coordinator will help maximize equipment utilization, maintain accurate records, and coordinate preventative maintenance while supporting the overall efficiency of the organization.
Responsibilities
- Coordinate the maintenance, inspections, and repairs of company vehicles, trailers, and equipment.
- Maintain fleet and asset records, including registrations, insurance, maintenance history, warranties, and service schedules.
- Track equipment utilization and coordinate asset assignments across branches and projects.
- Ensure fleet compliance with provincial regulations, company policies, and client requirements.
- Schedule preventative maintenance and monitor repair costs to minimize downtime.
- Coordinate licensing, registrations, CVIPs, and other required fleet documentation.
- Work with vendors to obtain quotes, schedule repairs, and manage service providers.
- Monitor fuel cards, GPS systems, and fleet tracking programs as required.
- Assist with purchasing, receiving, tagging, and disposing of company assets.
- Conduct regular fleet and equipment inspections and identify opportunities for improvement.
- Support inventory management of fleet-related supplies and equipment.
- Prepare reports on fleet performance, maintenance costs, and asset utilization.
- Work closely with operations to ensure equipment is available to meet operational needs.
Qualifications
- Diploma or certificate in Business Administration, Fleet Management, Supply Chain, or a related field is considered an asset.
- Minimum 3–5 years of experience in fleet coordination, asset management, logistics, or equipment administration.
- Experience within the energy services, industrial, construction, or transportation industries is preferred.
- Valid Class 5 driver's licence with a clean driver's abstract.
Skills & Experience
- Strong organizational and time management skills with exceptional attention to detail.
- Knowledge of vehicle maintenance schedules, fleet compliance, and asset management practices.
- Experience coordinating vendors and maintenance providers.
- Strong computer skills, including Microsoft Office (Excel, Outlook, Word).
- Experience with fleet management software, GPS systems, or maintenance tracking software is considered an asset.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Problem-solving mindset with a focus on efficiency and continuous improvement.
