Job Overview
Hewson Brothers Acoustic Solutions is seeking an entry level Administrative Assistant to support the daily operations of our Toronto office.
The successful candidate will work as part of a team to support customer service, order processing, inventory and supplier documentation, and general office administration. This role will help ensure information is entered accurately, customer and order records are maintained, and day-to-day office operations run efficiently.
The ideal candidate is punctual, organized, detail-oriented, and comfortable working with customers, suppliers, and different departments. Previous administrative or customer service experience is considered an asset, along with strong communication, computer, and data-entry skills.
Duties and Responsibilities
- Support daily order desk and office operations.
- Greet and assist walk-in customers, contractors, vendors, and other visitors.
- Respond to customer questions, concerns, and general service inquiries.
- Provide customers with information regarding products, pricing, availability, and services
- Review customer orders for accuracy and completeness.
- Receive and process customer orders from order entry through invoicing.
- Maintain accurate inventory records through timely entry of vendor packing slips.
- Coordinate product transfers or special orders when required.
- Coordinate purchasing for customer-specific orders.
- Communicate expected delivery dates and advise customers of any delays or changes.
- Work with the sales, warehouse, and delivery teams to support customer orders and deliveries.
- Monitor customer accounts for credit status and outstanding balances as requested.
- Perform general office and administrative duties, including filing, scanning, data entry, document preparation and maintenance.
- Assist with basic bookkeeping and accounting-related administrative tasks as required.
- Maintain a good working knowledge of company products and services through product training and educational opportunities.
- Follow all company policies, procedures, and health and safety requirements.
- Perform other duties as assigned.
Qualifications
- Previous customer service or administrative experience is considered an asset.
- Strong communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Comfortable working with customers both in person and over the phone.
- Computer and data-entry skills.
- Ability to work effectively with different departments and manage multiple priorities.
- Previous bookkeeping or accounting support experience is considered an asset.
Pay: $55,000.00-$60,000.00 per year
Ability to commute/relocate:
- Concord, ON: reliably commute or plan to relocate before starting work (required)
Experience:
- Administrative: 3 years (preferred)
