Administrative Assistant
Location: IT
Classification: Full Time
Report To: CIO, Vice President of Technology

Job Responsibilities:
Answer and direct phone calls
Greet and direct visitors to appropriate personnel
Coordinate all outgoing and incoming mail and couriers. Receive, sort and distribute the mail.
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Provide information by answering questions and requests
Handle multiple projects as assigned
Prepare and monitor invoices. Assist in the management of mobility billing, reconciliation and management of requests
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Cover the reception desk
Maintain computer and manual filing systems
Handle sensitive information in a confidential manner
Reply to email, telephone or face to face enquiries

Experience and Educational Requirements:
Postsecondary education and reception experience an asset
2+ years of administrative customer service experience preferred

Technical Requirements:
Intermediate proficiency with MS Office (Excel, Word, Outlook and PowerPoint)
Ability to learn in-house computer programs
Ability to learn and adapt to changing systems and new technology

Non-Technical Requirements:
Professional approach and aware of the importance of delivering quality customer service
Excellent learning and problem solving capabilities
Excellent verbal and written communication skills
Strong administrative skills with attention to detail
Strong planning and organizational skills coupled with ability to multi-task and prioritize
Ability to handle sensitive information and maintain utmost confidentiality at all times with tact, diplomacy and integrity
Ability to work independently and with other Associates in a team environment
Ability to multi-task and prioritize (excellent time-management skills)
Demonstrate a positive attitude, enthusiasm and assertiveness
