Client Service Coordinator (CSC)
About the Role
Horizon Chartered Professional Accountants is a mid-size professional accounting firm in downtown Vancouver, providing accounting, tax compliance, advisory and financial planning services to entrepreneurs, professional corporations, and privately-owned businesses.
We're looking for a full-time Client Service Coordinator to support our team and deliver excellent service to our clients. You're a tenacious self-starter, a team player, and someone who understands that the details make the difference in quality work.
What You'll Do
Job Coordination
- Log new jobs in the firm's electronic workflow system and initiate workflow
- Process authorization requests for CRA and tax accounts
- Draft annual service plans and other client letters
- Review information received, follow up on missing documents, and import documents into client files
- Electronically file T1, T3, T4 and T5 returns during tax season
- Prepare and collate client deliverables
- Finalize, archive, and roll forward completed jobs
Client Communications & Billing
- Initiate contact with new and current clients following the firm's onboarding process
- Respond independently to client inquiries; escalate complex questions to the appropriate team member
- Draft invoices, follow up on outstanding accounts receivable, and process payment requests
- Maintain the firm's client database
- Ensure client-provided documents are returned appropriately
Administrative Support
- Prepare weekly WIP and billing reports for management
- Maintain worklists
- Draft and proofread reports and other correspondence
- Help organize team meetings and firm events
- Support general office procedures and provide backup reception coverage
Growth Opportunities
As you build experience, you'll take on management of an assigned client portfolio, supervise junior administrative staff, contribute to work/staff capacity planning, and get involved in internal firm improvement projects.
What You Bring
- 1+ years of experience in a professional office environment
- Proactive, reliable, organized, and comfortable working independently with minimal supervision
- Strong time management skills and the ability to juggle competing deadlines
- Ability to build relationships with clients, business partners, and team members
- Fluent written and spoken English (you'll communicate directly with clients and tax authorities)
- Proficient in Office 365; quick to learn new software and tools
- Studies in Business Administration are an asset
