Position Summary
The Senior Legal Assistant will provide comprehensive legal and administrative support across a variety of practice areas. The successful candidate will be responsible for managing legal files, preparing court documents, coordinating with clients and legal professionals, attending court on behalf of counsel where appropriate, and ensuring matters progress efficiently from file opening through resolution.
Key Responsibilities
- Provide senior-level legal and administrative support to lawyers and legal professionals.
- Draft, format, review, proofread, and prepare legal correspondence, pleadings, affidavits, motions, applications, agreements, corporate documents, and other legal materials.
- Prepare, organize, issue, serve, and electronically file court documents through the Ontario Courts Public Portal and other applicable filing systems.
- Attend court on behalf of counsel, where appropriate, to file materials, obtain endorsements, communicate with court staff and trial coordinators, schedule attendances, retrieve court documents, and otherwise assist in advancing client files in accordance with applicable court procedures and firm policies.
- Manage family law, civil litigation, and corporate law files from opening through completion.
- Coordinate and schedule client meetings, mediations, discoveries, court appearances, and other legal proceedings.
- Maintain calendars, limitation periods, court deadlines, and bring-forward systems.
- Prepare, organize, and manage disclosure, evidence, exhibits, and litigation materials.
- Communicate professionally with clients, opposing counsel, court staff, government agencies, financial institutions, and third parties.
- Conduct conflict checks, open and close files, and maintain accurate file records.
- Prepare invoices, trust documentation, and administrative file management as required.
- Utilize legal practice management software, document management systems, Microsoft Office, Adobe Acrobat, and other legal technology.
- Maintain strict confidentiality and ensure compliance with Law Society of Ontario requirements, court rules, firm policies, and applicable legislation.
- Assist with office administration and provide guidance and support to junior staff when required.
Qualifications
- Minimum of 5 years of experience as a Legal Assistant, preferably in Family Law, Civil Litigation, or Corporate Law.
- Thorough knowledge of Ontario court procedures, filing requirements, legal documentation, and court rules.
- Experience preparing and filing family law forms, civil litigation documents, and corporate records.
- Exceptional organizational, time management, and multitasking skills.
- Strong legal drafting, proofreading, and document formatting abilities.
- Excellent written and verbal communication skills.
- Ability to work independently, exercise sound judgment, and manage multiple priorities under tight deadlines.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office (Word, Outlook, Excel), Adobe Acrobat, and legal practice management software. Experience with Clio is considered a strong asset.
- Experience with electronic court filing systems, including the Ontario Courts Public Portal.
Preferred Qualifications
- Experience supporting contested family law matters, civil litigation proceedings, and corporate transactions.
- Familiarity with legal billing, trust administration, and file management procedures.
- Experience mentoring or assisting junior legal assistants or law clerks.
- Strong problem-solving skills with the ability to anticipate issues and work proactively.
- Ability to work effectively in both independent and team-based environments.
