A boutique Vancouver law firm specializing in estate administration, trust and estate planning, tax planning, and estate/tax litigation is seeking an experienced Legal Administrative Assistant to join its Estate Planning and Administration team. This is an excellent opportunity for a highly organized, client-focused, and detail-oriented professional who enjoys working closely with lawyers and clients while supporting a busy wills and estates practice.
This position is ideal for someone who thrives in a fast-paced environment, takes pride in providing exceptional client service, and enjoys managing a broad range of administrative responsibilities while contributing to a collaborative and supportive team.
Key Responsibilities:
- Preparing routine correspondence and legal documents
- Opening, maintaining, and closing files, including conflict checks and file organization
- Managing lawyer calendars, email correspondence, and scheduling meetings
- Maintaining bring forward ("BF") systems and monitoring deadlines
- Responding to a high volume of client inquiries by telephone and email
- Coordinating meetings, appointments, and sending invitations and reminders
- Time entry, billing, and following up on accounts receivable
- Uploading and downloading electronic documents
- Managing incoming and outgoing mail
- Preparing expense reports
- Communicating regularly with clients and providing administrative support throughout matters
- Maintaining wills and safekeeping documents within firm vaults
- Providing general administrative and practice support as required
Qualifications and Skills:
- Minimum 5 years of legal administrative experience supporting lawyers within a law firm environment
- Strong organizational and time management skills with exceptional attention to detail
- Excellent verbal and written communication skills with a client-service-oriented approach
- Ability to prioritize competing demands and manage a high volume of work effectively
- Strong judgment, professionalism, discretion, and confidentiality
- Ability to work independently while also contributing positively to a collaborative team environment
- Proficiency with Microsoft Office, including Word, Outlook, and Excel
- Positive, proactive, and self-motivated approach to work
- Ability to remain calm and organized in a fast-paced environment
