The Opportunity
Genuwine Cellars is currently seeking an enthusiastic Accounts Payable & Administrative Assistant to join our team in Winnipeg, MB. This is a full-time position reporting to the Operations Manager and partly to the CEO/Founder of the company.
The Accounts Payable & Administrative Assistant plays an important role in ensuring the company’s overall success by providing strong administrative support to the accounting department, operations, and occasionally to the CEO/Owner. The person we are looking for is a positive individual who can exude the company’s reputable brand of luxury and provide “world-class” customer service and accounting support. The ideal candidate possesses a strong work ethic, excellent communication skills, and an eye for fine details. This person is comfortable taking initiative and managing multiple priorities with tight deadlines.
PRIMARY JOB DUTIES AND RESPONSIBILITIES
Accounting Support:
- Accounts Payable: Oversee and ensure that accounts payable are paid in a timely manner. Includes vendor account setup, as required
- Oversee and ensure that credit card reconciliations are completed on time
- Provide accurate and timely financial reports:
o Assist with Income Statement, Balance Sheet, and Accounts Payable (as per schedule)
- Provide companywide communication of payment for release of products and/or services
- Data entry as required, such as updating the company Master workflow, labour collection data, material issuance, and inventory
- Conducting banking and foreign currency transactions at the appropriate financial institutions
- Maintaining an orderly accounting filing system, including an organized system to file receipts, invoices, statements, etc.
- Coordinating the provision of information to external auditors/accountants for the annual audit
- Organizing the companywide credit card program, including coordination of credit card benefits and rewards
- Maintaining the petty cash fund
- Other accounting duties as required
Administrative Support (company-wide):
- Coordinate domestic and international travel for the CEO and other staff including flights, accommodations, and car rentals
- Complete a variety of business and personal tasks for the CEO including completing expense reports, submitting insurance documents, coordinating monthly meetings, and scheduling appointments in the calendar
- Advise CEO of upcoming commitments in calendar and re-organize as necessary
- Create various types of correspondence, presentations, and Excel spreadsheets for all departments as necessary
- Prepare all paperwork required for the Install team to cross international borders, ensuring passports/E1 Visas are renewed and valid
- Help to create and implement office policies/ procedures and maintain office roster and phone directories
- Maintain an organized and up-to-date storage system of electronic and paper files
- Assist Human Resources department in onboarding tasks, employee celebrations, and more
- Coordinate with outside contractors for services such as IT services, janitorial, lawn maintenance, snow removal, septic tank disposal, etc.
- Assist with the execution of company events such as BBQs, Christmas party, and other special events throughout the year including tradeshows (i.e. booking the booth, booking flights and accommodations for staff attending the tradeshow, and more)
- Acts as the point person for general maintenance and ensures the general cleanliness of the front lobby, office washrooms, design loft, kitchen, and conference rooms
- Other administrative duties as required
QUALIFICATIONS AND KEY COMPETENCIES
- At least two years’ experience as an Accounts Payable Clerk, Bookkeeper, or similar position supporting Accounting is required
- Knowledge of accounting principles and legislation
- Experience using Sage 50 and/or QuickBooks accounting software is required
- Recent and extensive experience providing administrative support for all levels of staff; experience providing Executive support is an asset
- Proficient with Microsoft Office suite (Word, Outlook, Excel, PowerPoint)
- Experience with ASANA is considered an asset
- Exceptional attention to detail and ability to identify inconsistencies
- Adaptability to changing priorities
- Strong interpersonal skills
- Excellent time-management
- Ability to learn quickly and work with minimal supervision
- Ability to handle sensitive information with discretion
- Ability to conduct research and create reports and presentations
WORKING CONDITIONS
- On-site in northeast Winnipeg/Sunnyside, MB
- Standard 40-hour work week (Monday to Friday)
- Willing to work overtime if and when required
- A valid driver’s license/reliable vehicle is required
