This competition is open to all applicants however internal candidates and applicants who were former employees of the University of Alberta in the past 18 months will be given priority consideration before external candidates.
This part-time (.4 FTE) position will be for a six-month term.
The Program Assistant will provide general administrative support for several training and scholarship programs run through the Faculty of Medicine & Dentistry Office of Research.
Administrative assistance with various programs run through the Office of Research including:
MD/PhD program – resolving administrative problems such as registration problems, fee assessment, management of financials (various funding sources, setting up stipends, processing expense claims), re-writing calendar entries, organizing committee meetings, application reviews
Medical Sciences Graduate Program (MSGP) – assistance with Quality Assurance Review (contacting program leads, collecting information, organizing meetings, collating materials), organizing monthly MSGP meetings (including minutes, assist with preparation of agenda, organizing reviews for and collating PhD proposals), following up on various student problems (withdrawals, lapse, probation, etc.), vetting material/documents for signature by the MSGP Director; reviewing and approving new admissions for MSGP departments
Small awards competitions - managing small competitions run through the Office of Research (such as the Canadian Student Health Research Forum (CHSRF) conference, Resident Research Prize, Novartis, Medstar)
Miscellaneous - assorted admin tasks such as EA-type duties for the Associate Dean Research, Graduate Programs, preparing stats, reports, meeting minutes
Post-secondary office administration training or equivalent in progressively responsible administrative experience
Proficiency with typical office software including MS Office Suite, Adobe Acrobat and Google applications
Proficiency with University software such as HCM, Financials, GSMS, and Campus Solutions
Ability to multi-task
