We are looking for someone who is highly organized, detail-oriented, experienced, and comfortable working in a fast-paced dealership environment. The ideal candidate takes ownership of their responsibilities, catches mistakes before they become problems, and ensures that records, accounting entries, documents, and administrative work are always accurate and up to date.
Key Responsibilities
- Perform daily data entry accurately and efficiently
- Maintain and update dealership records and internal systems
- Work with QuickBooks Online for day-to-day bookkeeping and accounting entries
- Enter and categorize bills, invoices, expenses, and payments
- Record customer and vendor payments
- Perform bank and credit card reconciliations
- Maintain accounts payable and accounts receivable records
- Prepare deposits and maintain payment records
- Organize vendor invoices and follow up on outstanding documentation
- Assist with month-end bookkeeping and reporting
- Maintain accurate digital and physical filing systems
- Scan, upload, organize, and properly name documents
- Prepare spreadsheets and reports using Microsoft Excel / Google Sheets
- Review documents for missing or incorrect information
- Maintain vehicle purchase and sales documentation
- Enter vehicle purchases, expenses, and related information into dealership systems
- Maintain records for vehicle expenses, repairs, transportation, detailing, and other costs
- Assist with deal paperwork and administrative processing
- Organize completed vehicle deal files
- Ensure required documents are properly completed and filed
- Communicate with vendors, suppliers, customers, and internal staff when required
- Assist management with reports, paperwork, and administrative tasks
- Maintain confidential customer, financial, and company information
- Identify discrepancies in records and bring them to management's attention
- Keep administrative work organized and up to date without requiring constant follow-up
Required Qualifications
- Minimum 3 years of administrative, bookkeeping, accounting assistant, or data-entry experience
- Experience with QuickBooks Online is required
- Strong data-entry skills with a high level of accuracy
- Strong Microsoft Excel / Google Sheets skills
- Excellent organizational and document-management skills
- Comfortable working with numbers, invoices, payments, and reconciliations
- Strong attention to detail
- Ability to manage multiple responsibilities and deadlines
- Ability to work independently and take ownership of assigned work
- Strong written and verbal communication skills
- Professional and dependable
- Automotive dealership experience is a strong asset
- Previous dealership accounting or administrative experience is preferred
Pay: $19.00-$26.00 per hour
