About the Position
We are seeking a reliable, organized, and compassionate Administration & Finance Clerk to join our team at our private seniors’ residence.
This position plays an important role in supporting the day-to-day administrative and financial operations of the residence. The successful candidate will work closely with the Executive Director and residence team to ensure accurate financial administration, effective communication, and a welcoming experience for residents, families, staff, and visitors.
The position will also participate in on-call coverage during the absence of the Executive Director, supporting operational continuity and serving as a designated administrative contact within established policies and delegated authority.
Key Responsibilities
- Provide day-to-day administrative support to the residence.
- Process accounts payable, accounts receivable, resident billing, payments, and financial records.
- Assist with payroll, timesheets, employee records, and scheduling administration.
- Maintain accurate and confidential resident, employee, and financial files.
- Respond professionally to resident, family, staff, and visitor inquiries.
- Prepare correspondence, reports, forms, notices, and other administrative documents.
- Assist with banking, deposits, reconciliations, invoices, and financial reporting.
- Monitor office supplies and coordinate administrative purchasing.
- Support meetings, calendars, appointments, inspections, and other operational activities.
- Assist the Executive Director with various administrative and operational projects.
Operational Continuity & On-Call Responsibilities
During an assigned on-call period or when the Executive Director is absent, the successful candidate will help maintain operational continuity by:
- Serving as a designated point of contact for routine operational and administrative matters.
- Responding to staff, resident, family, and service-provider inquiries within delegated authority.
- Supporting urgent staffing and operational communication.
- Following established emergency and escalation procedures.
- Ensuring significant incidents or concerns are promptly communicated to the appropriate management contact.
- Documenting significant calls, incidents, decisions, and follow-up requirements.
- Ensuring outstanding matters are communicated to the Executive Director upon their return.
The Administration & Finance Clerk will work within established policies, procedures, training, and delegated authority. The position does not independently assume the full authority or responsibilities of the Executive Director.
What We're Looking For
The ideal candidate will have:
- Post-secondary education in business administration, accounting, finance, office administration, or a related field, preferred.
- Previous experience in administration, finance, accounting, payroll, or a related role.
- Strong computer skills, including Microsoft Office and Excel.
- Experience with accounting or payroll software is an asset.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and sound judgment.
- Ability to remain calm and professional during urgent situations.
- Ability to work independently while recognizing when matters need to be escalated.
- Experience in a seniors' residence, healthcare, hospitality, or residential setting is an asset.
