About the Role
We are seeking a friendly, professional, and highly organized Receptionist to join our growing law firm. As the first point of contact for clients, visitors, and business partners, you will play a key role in creating a welcoming and positive experience while supporting the day-to-day operations of our office.
The ideal candidate is client-focused, detail-oriented, and capable of managing multiple priorities in a fast-paced professional environment. Previous reception or administrative experience is preferred, but we are willing to train the right person who demonstrates strong communication skills, professionalism, and a positive attitude.
Key Responsibilities
- Greet clients, visitors, and vendors in a courteous and professional manner.
- Answer and direct incoming telephone calls and respond to general inquiries.
- Schedule appointments and assist with meeting coordination for lawyers and staff.
- Manage reception area operations and ensure client-facing areas remain clean, organized, and welcoming.
- Receive, sort, scan, and distribute incoming mail, deliveries, and courier packages.
- Coordinate outgoing mail, courier services, and document deliveries.
- Prepare, organize, and maintain boardrooms and meeting spaces.
- Perform clerical and administrative duties including filing, data entry, photocopying, scanning, and document preparation.
- Maintain physical and electronic filing systems in accordance with firm procedures.
- Assist with opening files, organizing documents, and preparing basic correspondence.
- Provide administrative support to lawyers, paralegals, and administrative staff as required.
- Monitor office supplies and advise when inventory requires replenishment.
- Maintain confidentiality when handling client information and legal documents.
- Perform other duties and special projects as assigned.
Qualifications
- High school diploma or equivalent.
- Previous reception, customer service, or administrative experience preferred.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Strong interpersonal and communication skills, both written and verbal.
- Excellent organizational and time management abilities.
- Strong attention to detail and accuracy in data entry and document handling.
- Ability to prioritize competing demands and work effectively in a busy office environment.
- Professional appearance and customer-focused approach.
- Experience with legal, professional services, or office administration environments is considered an asset.
- Familiarity with office equipment, multi-line telephone systems, and electronic filing systems is an asset.
- Ability to handle sensitive and confidential information with discretion and professionalism.

Pay: $50,000.00-$60,000.00 per year
