Position Overview: As the Executive Assistant to the Dealer Principal, you will be the right-hand person to our dealership’s top executive. You will play a crucial role in managing schedules, coordinating communication, and ensuring that operations run smoothly. This is an exciting opportunity for a proactive and detail-oriented individual who thrives in a fast-paced environment.
Key Responsibilities:
- Administrative Support: Manage the Dealer Principal’s calendar, schedule meetings, and coordinate travel arrangements. Ensure all appointments are well-organized and prepared for.
- Communication Liaison: Serve as the primary point of contact for internal and external communications. coordinate calls, draft correspondence, and handle inquiries professionally and promptly.
- Event Coordination: Organize and coordinate dealership events, meetings, and special functions. Handle logistics, invitations, and follow-ups to ensure successful events.
- Reporting & Documentation: Prepare reports, presentations, and documents as required. Maintain accurate and confidential records and files.
- Project Management: Assist with various projects and initiatives, providing administrative support and tracking progress to ensure timely completion.
- Operational Efficiency: Identify opportunities for process improvements and implement solutions to enhance operational efficiency and effectiveness.
Qualifications:
- Experience: Proven experience as an Executive Assistant or in a similar administrative role, preferably in the automotive industry.
- Skills: Exceptional organizational and multitasking skills with a keen eye for detail. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with office management software.
- Communication: Excellent verbal and written communication skills. Ability to interact professionally with all levels of staff, clients, and vendors.
- Discretion: Demonstrated ability to handle sensitive and confidential information with discretion.
- Adaptability: Flexible and adaptable with a strong ability to prioritize tasks and manage time effectively in a dynamic environment.
