Overview
The Project Coordinator will work closely with the Division-30 Plumbing Department to facilitate a smooth transition from project award to execution. Responsibilities include creating work orders, reviewing quotations to verify scope and job details, ensuring all required information is complete, and establishing or implementing applicable checklists, inspections, and project documentation.
Responsibilities & Duties
- Coordinate and prioritize the Project Manager's schedule, appointments, tasks, and customer commitments.
- Support estimating and quoting activities, including pricing bill of materials, preparing quotations, and assisting with contract preparation and revisions.
- Act as a primary point of contact for customers by responding to inquiries, scheduling work, following up on recommendations, addressing concerns, and coordinating meetings as required.
- Assist with project planning, progress tracking, reporting, and communication, providing regular updates and feedback to the Project Manager.
- Manage project documentation, records, closeout packages, and customer reports to ensure accurate and complete project files.
- Coordinate procurement activities, including sourcing materials and suppliers, issuing purchase orders, expediting deliveries, resolving back orders, and arranging shipments to project sites.
- Maintain supplier and vendor information, monitor supplier performance, and identify opportunities for cost savings and process improvements.
- Liaise with clients, consultants, engineers, suppliers, subcontractors, and internal departments to support successful project execution.
- Prepare and process supporting documentation required for Accounts Payable and project administration.
- Attend project meetings, contribute to planning discussions, and support continuous improvement initiatives.
- Perform other duties as assigned.
Requires Knowledge & Awareness of Following Tasks
- Civil or Mechanical Engineering Technology diploma, certification, or related education considered an asset; equivalent experience with a minimum of two years in project coordination will also be considered.
- Experience preparing, reviewing, and administering project change orders.
- Familiarity with ISO quality management systems and document control procedures.
- Ability to coordinate technician, labor, and vehicle scheduling to support project and service requirements.
- Proficiency in managing and maintaining work orders, purchase orders, project records, and related documentation.
- Proficiency with email, calendar management, and standard business software applications, including Microsoft Office (Outlook, Excel, Word, Teams) and project management software is required.
- Valid driver's license and access to reliable transportation are required to attend site visits, project meetings, and other business-related travel.
Work Conditions
- Primarily office-based with regular interaction and coordination between field personnel, customers, suppliers, and project stakeholders.
- Periodic travel to project sites, customer locations, supplier facilities, and meetings as required.
- Attendance at construction sites will require compliance with all site-specific health and safety requirements, including the use of appropriate Personal Protective Equipment (PPE) such as hard hats, safety footwear, high-visibility clothing, safety glasses, and any other required protective equipment.
- Ability to work in a fast-paced environment, manage multiple priorities, and respond to changing project requirements and schedules.
- Occasional extended hours may be required to meet project deadlines and operational demands.
Pay: $25.00-$30.00 per hour
