We are a newly established physiotherapy clinic committed to delivering exceptional patient care in a warm and welcoming environment. As our clinic continues to grow, we are seeking a reliable, detail-oriented Office Administrator to support our team and ensure smooth day-to-day operations.
Duties
- Manage front desk operations, including greeting patients, answering multi-line phone systems, and providing excellent phone etiquette.
- Manage appointment scheduling and coordinate bookings using Jane App
- Handle all aspects of office administration such as filing, record keeping, and maintaining patient charts with accuracy and confidentiality.
- Oversee vendor relationships, including supplies procurement, equipment maintenance, and service contracts to ensure smooth clinic operations.
- Supervise administrative staff, providing training and development opportunities to foster a motivated and competent team.
- Support bookkeeping and budgeting activities by tracking expenses, processing invoices, and maintaining financial records.
- Organize clinic events or community outreach programs related to health awareness or patient engagement initiatives.
- Ensure compliance with healthcare regulations by maintaining accurate documentation and implementing office policies.
- Coordinate with external vendors for supplies, maintenance services, or other operational needs to ensure uninterrupted clinic functions.
- Manage scheduling conflicts or changes promptly to maintain an efficient appointment flow.
- Support medical office management tasks such as assisting with patient intake procedures and managing medical records.
Experience
- Proven experience in office administration within a healthcare or medical setting is highly preferred.
- Experience using Jane App is required.
- Strong skills in schedule management, calendar organization, and multi-line phone systems are required.
- Experience with vendor management, budgeting, and basic bookkeeping will be advantageous.
- Knowledge of human resources processes including onboarding, training & development, and employee record management is desirable.
- Familiarity with medical office procedures such as filing patient records and front desk operations is a plus.
- Excellent communication skills combined with organizational prowess to handle multiple tasks efficiently.
- Multilingual in English, Hindi, and Punjabi (preferred)
