This position provides administrative support to the programs and services provided by the Quit Smoking Program.
Reception and administrative support of programs and services such as (but not limited to): program registrations, appointment scheduling, chart management, data entry, ordering supplies, booking meetings, schedule room bookings, photocopying, triaging in-patient calls/referrals, etc.
Ensuring the Centre area and other common areas are properly maintained
Receive and respond to telephone calls and visitors, reminder calls
Coordinate logistics and develop materials for special events, workshops and meetings
Coordinate meetings and conference calls
Prepare and assist with program trackers/dashboards, and reports
Arranges and prepares minutes
Handle mail, faxes and couriers
Assist with financial management of activities
Prepares reports and presentations as requested
Keep inventory of medications and supplies
Scanning documents into Electronic Medical Records
Office Administration Certificate/Diploma
Minimum of 2 years experience in an administrative position
Excellent attention to detail
Comfortable with speaking to people
High level of professionalism and must be punctual
Advanced proficiency with computer software packages: MS Office (Word, Excel, Access, Outlook, PowerPoint) and Adobe.
Excellent verbal and written communication skills
Demonstrated initiative, ability to prioritize (multi-tasking skills), and problem solve
Demonstrated ability to work efficiently and complete tasks in a busy environment
Good judgment, strong interpersonal, organizational and time management skills
Ability to work both independently and in a team environment
Previous experience in a health care setting
Proficiency in speaking and comprehending both English and French
