Position Overview
The Intake/File Opening Clerk serves as the first point of contact for new client inquiries relating to real estate matters and plays an essential role in supporting the Real Estate Practice Group's file opening and records management processes. In this role, you will ensure new client inquiries are handled professionally, client files are opened accurately and efficiently, and administrative processes are completed with a high level of attention to detail.
This position also provides administrative support to the Real Estate Practice Group, helping to ensure the smooth day-to-day operation of the team.
Key Responsibilities
- Serve as the first point of contact for new client inquiries received by telephone, email, and online intake platforms, directing matters to the appropriate lawyer or law clerk.
- Open and maintain new client files within the firm's document and practice management systems.
- Assist with conflict searches as required.
- Scan, organize, and maintain notarized documents and other client records.
- Provide clear, professional, and timely communication with Real Estate Law Clerks, Lawyers, and clients.
- Record time and complete administrative tasks within the firm's practice management system.
- Perform other administrative duties and special projects as assigned.
Qualifications & Experience
- Legal Assistant or Law Clerk Diploma, or an equivalent combination of education and experience.
- Previous administrative experience in a legal or professional office environment is considered an asset.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Excellent interpersonal and communication skills with a professional, client-focused approach.
- Ability to work both independently and collaboratively as part of a team.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
- Experience with legal document management and practice management software, including NetDocuments and Soluno, is considered an asset.
