Job Overview
We are seeking a dedicated, organized, and professional Medical Office Assistant – Cardiology Clinic to join our cardiology clinic in Kitchener.
The ideal candidate will have experience working in a medical office or specialist clinic and be comfortable managing a busy front desk, patient scheduling, referrals, medical records, and high-volume telephone communication.
Experience with electronic medical record (EMR) systems, medical terminology, and physician office procedures is highly desirable. Previous experience in a cardiology, specialist, diagnostic, or hospital setting is considered an asset.
Duties
- Greet and assist patients professionally at the front desk
- Manage patient check-in and check-out
- Answer and manage multi-line telephone systems in a busy medical office
- Schedule, confirm, reschedule, and cancel patient appointments
- Coordinate patient flow and communicate appointment information clearly
- Maintain and update electronic medical records (EMR)
- Process incoming referrals and ensure required patient information and documentation is complete
- Prepare and organize patient charts, reports, requisitions, referrals, and other medical documentation
- Communicate with patients, physicians, specialists, hospitals, pharmacies, and other healthcare providers as required
- Assist with OHIP billing and other administrative billing tasks as required
- Scan, fax, file, and process medical documents while maintaining patient confidentiality
- Support physicians and clinical staff with daily administrative duties
- Maintain an organized, professional, and welcoming reception area
- Follow PHIPA and clinic confidentiality requirements at all times
- Perform other administrative duties required to support efficient clinic operations
Requirements
- Previous experience as a Medical Receptionist, Medical Office Assistant, Medical Secretary, or similar healthcare administrative role preferred
- Experience in a cardiology or specialist clinic is an asset
- Experience with EMR systems such as Accuro, OSCAR, Ocean, PS Suite, Epic, or similar systems
- Strong knowledge of medical terminology
- Experience with patient scheduling, referrals, medical records, and front-desk operations
- Experience with multi-line telephone systems and high-volume patient communication
- Familiarity with OHIP billing is an asset
- Strong computer and data-entry skills
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to prioritize and multitask effectively in a fast-paced medical environment
- Professional and compassionate approach when communicating with patients
- Ability to maintain confidentiality and handle sensitive patient information appropriately
- Reliable transportation to commute to the Kitchener clinic
