The Pro-Claim Group is the parent company of Platinum Pro-Claim Restoration. Think of it as our "Head Office;" however, Pro-Claim Group shares the same office as Platinum Pro-Claim Restoration in Richmond. You'll be involved in a number of affairs related to Pro-Claim Group subsidiary companies, which can include Down's Construction in Victoria, Nanaimo, and Duncan, BC, and Pro-Claim Calgary in Calgary, AB, to name a few! Job Summary
We are seeking a spirited and versatile Executive Assistant to the CEO to streamline operations and ensure seamless day-to-day activities. The position reports to our parent company, Pro-Claim Group's CEO. In this engaging role, you'll help manage the CEO’s calendar and inbox, coordinate travel arrangements, oversee exciting projects, support event planning, and handle expense reports. The ideal candidate will possess strong communication, organizational, and multitasking skills, with a professional demeanor, and the ability to handle confidential information. Most importantly, this candidate aligns strongly with our purpose and our values and completes their work with these in mind.
Job Responsibilities
- Screening and prioritizing all incoming meeting requests.
- Scheduling and coordinate internal and external meetings efficiently.
- Serving as a primary point of contract for all incoming emails.
- Assessing urgency and determine which items need to be actioned by the CEO or yourself.
- Proactively handling and respond to non-critical emails independently.
- Managing the CEO’s inbox and draft email responses for the CEO to review and approve.
- Preparing documents and emails for review prior to meetings.
- Completing the CEO’s expense reports and reconciling company expenses accurately.
- Organizing international and domestic travel arrangements (flights, hotel, rental cars, etc.) for the Pro-Claim Group.
- Ensuring projects overseen by the CEO are moving forward, such as EcoClaim.
- Developing meetings minutes and agendas for the CEO.
- Organizing food and drinks for external and internal stakeholder meetings from time to time.
- Sitting in on the Event Committee to assist with the set up and planning of various company events, such as our Company BBQs, Christmas Party and Client Party.
- Processing a variety of materials from draft formats (i.e., dictation, hand-written notes, verbal conversations) or detailed instructions such as newsletters, memos, letters, emails.
Job Requirements
- At least two years of post-secondary education is preferred ideally in office or business administration.
- Strong familiarity with Microsoft Office Suite (i.e., Outlook and Word). Experience with SharePoint is an asset.
- Previous office and administrative experience is preferred.
- Effective communicator both verbally and in writing, including strong proficiency in grammar, editing and proof reading.
- Great interpersonal skills, and ability to build relationships with staff at all levels.
- Being able to adapt quickly to changes in a fast-paced environment with a proactive approach to problem-solving.
- Professional demeanour and ability to handle confidential information with discretion.
- Adept independently managing multiple projects at once and in a timely manner.
- Strong organizational and time management skills with the ability to prioritize tasks when needed.
Compensation
- Salary: $55,000 - $70,000/annum, based on experience.
