Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily office operations, provide exceptional customer service, and support administrative functions across various departments. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently. Experience in medical or dental offices is a plus, but not required. The Office Administrator will play a vital role in ensuring smooth office workflows and maintaining professional communication with clients and staff.
Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls appropriately
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and ensure all administrative paperwork is organized and up-to-date
- Provide customer support by addressing inquiries professionally and courteously
- Assist with bookkeeping tasks such as invoicing, billing, and expense tracking
- Support appointment scheduling for medical or dental offices, including confirming patient appointments
- Maintain office supplies inventory and coordinate procurement as needed
- Support team with administrative tasks such as typing correspondence, preparing reports, and managing calendars
- Ensure adherence to office policies and procedures while demonstrating excellent phone etiquette and organizational skills
Requirements
- Proven clerical or administrative experience, preferably in medical or dental office settings
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills including data entry, filing, proofreading, and document management
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette
- Ability to handle front desk responsibilities efficiently and courteously
- Experience with multi-line phone systems and scheduling software is preferred
- Strong typing skills with attention to detail for accurate data entry and correspondence
- Prior experience in bookkeeping or medical/dental office administration is advantageous
- Must demonstrate excellent communication skills and a professional demeanor
Pay: $15.00-$29.59 per hour
