Job Description:
We are actively seeking a highly organized and detail-oriented assistant to support a senior advisor with a large and growing practice. The ideal candidate will possess strong technical skills, ability to prioritize and to thrive in a fast-paced environment.
The administrative assistant will work directly with one Advisor. Primary duties include:
· Prepare and process forms for mutual funds, segregated funds and insurance products, including account opening, applications, client information updates and government forms. Work with multiple platforms and online tools from insurance companies, mutual funds and in-house software
· Prepare material for client’s meeting, ensuring all necessary documents are accurate and complete. Communicate with clients to schedule meetings, collect info and send documents for signature and processing.
· Use in-house software to run reports, prepare and prioritize workflows, maintain client file
· Prepare reports to track sales, trades and pending transfers
· Ability to work well independently and a willingness to take initiative
· Ability to multi-task to manage/prioritize multiple tasks simultaneously as required
· Excellent technology skills & digital savvy
· Proficient with MS Office application at intermediate/advanced level
· Ability to handed confidential information professionally
· Maintain and update records, ensuring all data is accurate and up-to-date.
Requirements:
A minimum of 2 year of experience in the administrative field or insurance/mutual fund processing experience.
· Possession of a High School Diploma is required, while a Bachelor’s degree is highly desirable.
· Strong proficiency in numerical tasks and accuracy in data entry.
· Proficiency in MS Office Suite (including Teams, Outlook, MS Excel and Word) is essential.
· The candidate should exhibit superior interpersonal skills, excellent communication skills (both oral and written), and a proactive approach to tasks.
· An organized individual who is consistently alert, capable of effectively prioritizing tasks to meet deadlines.
· A self-motivated and open-minded individual with a keen willingness to learn and foster relationships.
· The following skills and experience would be an asset:
o Prior experience in the financial services sector,
o Willing to take, enrolled or completed the mutual fund or CSC course,
o Experience with Dataphile, and
o Client management system.
· The candidate should demonstrate a high level of professionalism and be comfortable working in a fast-paced environment.
