Service Coordination, Supplier Support & Administrative Operations
Genier’s Appliances is seeking an organized, dependable, and customer-focused Customer Service & Operations Coordinator to join our team.
This position is an important connection between our customers, technicians, suppliers, and internal departments. The successful candidate will help coordinate appliance service, manage customer communication, support supplier and warranty processes, assist with administrative and financial tasks, and ensure daily operations run smoothly.
We are looking for someone who enjoys helping people, communicates clearly, pays close attention to detail, and can confidently manage multiple priorities in a busy environment.
Key ResponsibilitiesCustomer Service & Service Coordination
- Provide friendly, professional, and responsive customer service in person, by phone, and through written communication.
- Listen carefully to customer concerns and help guide them through the service process.
- Schedule service appointments and coordinate with technicians to support efficient and timely service.
- Keep customers informed about appointments, repair progress, estimates, parts availability, and service delays.
- Prepare accurate estimates, obtain customer approval, process invoices and payments, and maintain complete customer records.
- Follow up with customers and take ownership of concerns to help ensure a positive customer experience.
- Communicate customer concerns and technical information accurately between customers and technicians.
Supplier, Warranty & Return Coordination
- Maintain professional relationships with manufacturers, suppliers, and service partners.
- Coordinate warranty claims, product exchanges, returns, credits, replacements, and Return Authorizations (RA/RMA).
- Prepare and submit accurate reports, photographs, service information, and supporting documentation for supplier claims.
- Assist with claims involving damaged, defective, or non-repairable products, including DOA (Damaged or Defective on Arrival) situations.
- Track open supplier claims and follow up to support timely resolutions.
- Coordinate approved exchanges, returns, replacements, and product pickups with the appropriate internal teams.
- Keep customers and internal departments informed throughout the claim or return process.
Administrative, Accounting & Operational Support
- Process invoices, customer payments, supplier credits, and other service-related transactions accurately.
- Assist with basic bookkeeping and administrative tasks, including recording expenses and maintaining organized financial documentation.
- Support accounts payable activities by tracking supplier invoices, payment schedules, vendor expenses, and credits for management review.
- Assist with inventory administration by recording incoming products, updating inventory information, and maintaining accurate records.
- Maintain accurate customer, service, supplier, warranty, and operational records.
- Help identify and resolve scheduling, billing, communication, or operational issues.
- Perform other related duties as assigned.
Qualifications
- Previous experience in customer service, office administration, service coordination, operations, retail, or a similar environment is preferred.
- Strong customer service and communication skills with a friendly, professional, patient, and helpful approach.
- Excellent organizational skills and the ability to manage multiple priorities in a busy environment.
- Strong computer skills, accurate data entry, and the ability to learn new software and systems.
- Experience with scheduling, invoicing, payment processing, accounting software, or basic bookkeeping is an asset.
- Knowledge of accounts payable, supplier credits, inventory administration, or vendor payments is an asset.
- Experience with warranty claims, supplier returns, RA/RMA processes, product exchanges, or DOA claims is a strong asset.
- Strong attention to detail, problem-solving ability, and follow-through.
- Ability to communicate effectively with customers, technicians, suppliers, and internal departments.
- Dependable, accountable, organized, and able to work independently while contributing to a team.
- Good mechanical aptitude or knowledge of appliances is an asset but not required.
- Good, be able to occasionally lift up to 25 kg (50 lbs) and move between the service counter, showroom, warehouse, and parts areas.

Pay: $20.00-$27.00 per hour
