Administrative Assistant - Full time (6 month contract)
Reporting to the CIO, the Administrative Assistant will be accountable for managing a variety of administrative functions for the office such as ordering supplies, coordinating department needs, managing schedules, working with external partners and parties, and other duties as determined from time to time. There is a heavy organizational component to the role along with a high sense of urgency, diplomacy, professionalism, initiative, judgement and confidentiality.
Assist department leaders with office activities and support required, ensuring that good relationships are maintained at all times, priorities are managed appropriately and preparing internal and external communication/correspondence
Communications with landlord and suppliers for needs associated with the office
General administrative office support including filing, copying, reviewing mail and other front desk reception duties
Coordination and scheduling of meetings, agenda planning, including minute taking, presentation creation, and following up on delegated tasks;
All other duties as required.
The Successful Candidate must have:
Previous experience managing a busy office with multiple priorities from various departments
Excellent written and verbal communication skills
Experience using full Office suite
Ability to work under tight deadlines with frequent interruptions
Sound judgment and well developed creative, analytical and interpersonal skills
Thrives in a busy, fast paced environment and remains calm under pressure
Good team player who is adaptable to a changing environment
Professional, friendly and courteous in all interactions, whether with stakeholders or colleagues
High level of accuracy and attention to detail
Able to work independently and as part of a team
Able to set and track deadlines and ensure follow through on commitments
Dedicated to quality and timeliness of results

Previous experience in a corporate work environment is an asset
