Position Summary
We are seeking a highly organized and detail-oriented Accounting & Administrative Assistant to join our team. The successful candidate will be responsible for supporting our accounting department through payroll processing, accounts administration, employee benefits coordination, banking support, and various financial and administrative duties across multiple companies. This role requires strong organizational skills, accuracy, confidentiality, and the ability to manage multiple priorities in a fast-paced office environment.
Key Responsibilities
Accounting & Payroll
- Process payroll for multiple company (2) divisions accurately and on schedule.
- Complete daily sales entries. (1) Company
- Prepare and process (1) company clearing entries.
- Generate and process invoices as required.
- Enter monthly utility and service invoices (including Shaw, Hydro, Fortis, and other PADs) for MRES companies and save supporting documentation within the company's filing system.
- Perform corporate credit card reconciliations for multiple cardholders.
- Provide secondary approval for electronic payments through RBC Express.
Employee Benefits & Administration
- Enroll new employees in Desjardins Insurance – as needed basis
- Update and maintain Victor Insurance Benefits, including adding new employees and processing changes.
- Assist with employee onboarding documentation related to benefits.
Government Reporting & Compliance
- Apply for and maintain NR4 accounts with Canada Revenue Agency (CRA). *annual*
- Assist with Speculation and Vacancy Tax filings and related annual reporting *annual*
- Ensure government filings and administrative deadlines are met.
General Administrative Support
- Maintain organized employee records.
- Assist with various accounting and administrative projects as assigned.
- Work collaboratively with management to support day-to-day operations.
Qualifications
- Previous experience in accounting, bookkeeping, payroll, and office administration.
- Knowledge of payroll processes and accounting principles.
- Experience with Microsoft Office, particularly Excel.
- Strong attention to detail and excellent organizational skills.
- Ability to maintain confidentiality and handle sensitive financial information.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines while managing multiple responsibilities.
Preferred Qualifications
- Experience with accounting software and online banking platforms.
- Familiarity with CRA payroll and tax reporting requirements.
- Experience administering employee benefits programs.
- Experience working in a multi-company environment is considered an asset.
