Job Summary:
The Payroll & Accounts Payable Administrator is responsible for the accurate and timely processing of employee payroll and vendor payments while ensuring compliance with company policies, employment legislation, tax regulations, and accounting procedures.
Responsibilities:
- Process bi-weekly and monthly payroll for hourly and salaried employees
- Ensure accurate calculation of wages, overtime, shift premiums, vacation pay, statutory holiday pay, and other earnings
- Review and process payroll changes including new hires, terminations, promotions, and wage adjustments
- Maintain employee payroll records and confidential personnel information
- Administer payroll deductions including income tax, CPP, EI, benefits, pensions, and garnishments
- Prepare and issue Records of Employment (ROEs) as required
- Reconcile payroll reports and investigate discrepancies
- Support year-end payroll processes including T4 preparation and reconciliation
- Ensure compliance with federal and provincial employment standards and payroll legislation
- Respond to employee payroll inquiries in a professional and timely manner
- Receive, review, and process vendor invoices for payment
- Match invoices with purchase orders, contracts, and supporting documentation
- Verify invoice coding and ensure accurate allocation to general ledger accounts
- Reconcile vendor statements and resolve payment discrepancies
- Monitor invoice approvals and follow up with property managers as required
- Process employee expense reimbursements and timecards in accordance with company policies
- Assist in managing accounts payable aging and payment schedules
- Maintain organized and accurate electronic and paper records
- Other payroll & accounts payable duties as required
Requirements & Qualifications:
- Strong understanding of Canadian payroll legislation and employment standards
- Knowledge of payroll remittances, T4 reporting, and ROE administration
- Knowledge of accounts payable processes and general accounting principles
- Excellent data entry skills with a high level of accuracy
- Strong analytical skills and attention to detail
- Ability to work collaboratively within a team environment while managing multiple tasks efficiently
- Experience with Yardi & Paymate is an advantage.
Pay: $50,000.00-$60,000.00 per year
