BCIT’s Registrar’s Office is seeking a temporary, full-time (1.0 FTE) Admissions and Student Records Officer. This position is responsible for all Admissions and Student Records related duties required by applicants and students attending one of a specific group of programs. This position is also responsibility will be Registrar’s Office related duties only, and will be provided to individuals interested in a particular full-time program from the point of application submission until graduation from their program of studies. The location of this position will be situated at a remote campus within the lower mainland. A close working relationship must be established between the BCIT Burnaby Admissions and Student Records departments. This position is a temporary position until January 31, 2021 with a possibility of an extension.
Duties & Responsibilities
DUTIES & RESPONSIBILITIES:
Assisting full-time applicants and full-time students with inquiries related to their program of interest/study.
Inputting applications into Banner and setting up applicant files.
Screening and evaluating applicant documentation, domestic and foreign transcripts to determine entrance requirement eligibility.
Producing and sending written correspondence to applicants regarding entrance requirement deficiencies, fee payment requirements, and all status changes to their applications.
Maintaining waitlists and space reservation files.
Making all selection decisions into program intakes.
Ensuring that programs are filled to capacity in an efficient manner by required deadlines prior to program start.
Ensuring that accepted applicants have fulfilled financial obligations to the institution by required deadlines prior to program start.
Withdrawing accepted applicants who have not paid their fees and/or met conditions of provisional acceptance, and backfilling vacated seats with qualified applicants from waitlist.
Processing applicant start date deferral requests, program cancellations, and adjusting waitlist as changes occur.
Liaison with Chief Instructor, Associate Dean, and Dean in reference to the admission and student records needs of assigned programs.
Registration of full-time students into courses associated with their program.
Processing applications for course credit and course exemption.
Adjustment and maintenance of registrations that are affected by approved course credit/exemption, course/program failures, withdrawals, transfers.
Monitoring enrolment activity.
Maintaining electronic and hard copy student files ensuring that all pertinent documentation, student information, and correspondence is updated and filed.
Attending marks review meetings as necessary and processing student marks upon completion of courses, terms and/or program completion.
Processing marks changes as required.
Processing applications for transfer credit and course exemption as required, evaluating and entering of transfer credit for Liberal Education.
Advising students of transferability of courses into BCIT programs; determining and entering of transfer credits for accepted advanced placement and readmit applications.
Corresponding with students who have failed and have had their program status affected with respect to continuing their studies.
Auditing all students for program completion and graduation eligibility.
Updating Banner to reflect program completion for graduating students.
Producing credentials and preparing Convocation folders.
Maintaining graduate files and preparing records for eventual microfilming.
May supervise one Auxiliary staff member on an infrequent basis as required.
Undertakes related duties as assigned, consistent with the job grade of this position.
Requires the equivalent of completion of specialized training programs of up to two year’s duration. For example, a Diploma of Technology or completion of a two-year full-time program from a Community College.
Requires two years experience plus up to two years’ practical current experience on this and related jobs inside or outside the Institute.
Must have formal training and proficiency using Microsoft Office products. Accurate keyboard skills of 50 wpm required. Experience using BCIT reporting tools is desirable. Proven ability with an on-line Student System is required (preferably Banner).
Excellent communication skills; proven ability to work in a team environment and deal effectively with various levels of staff, faculty and administration.
Strong aptitude for multi-tasking, planning, organization and attention to detail; superior problem-solving and troubleshooting abilities.
Must be adaptable to rapid changes in technology related to the Registrar’s Office.
Must be able to work flexible schedules and be available during peak periods.
This position is primarily based out of the Aerospace Technology Campus in Richmond; however, a significant portion of the first few weeks or longer will be taking place at the Burnaby campus or done remotely due to the COVID-19 crisis.
Please note: These are the minimum required qualifications. This position is a day shift position as defined in Article 14.1 of the Collective Agreement. The working hours are Monday to Friday from 7:30am to 3:30pm. Occasional work on evenings and weekends may be required.

Salary Range Pay Grade 7; $48,726 to $53,107 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with progression to the maximum. Salary prorated based on percentage and term of appointment.
