Job Description
With minimal supervision, the Program Assistant IECC provides operational and administrative support to IECC and the Indigenous community-based programs. Working with the Chair and program leaders, faculty and community partners, this position performs program-wide, program-specific tasks and special projects to support IECC and IECC students. A thorough knowledge of college, IECC and department goals and objectives, and policies and procedures relevant to IECC programs is essential. May require working evenings and weekends.
TYPICAL DUTIES:
- Responds to IECC student queries for clarification and direction related to information available in available in the college calendar, course timetables and other publications. Makes appropriate referrals to student services staff, other IECC department/program members, and other college departments, when necessary, to ensure that IECC students have all necessary information and requirements necessary to make informed decisions; May assist with registering students for Indigenous community-based programs, using face-to-face or distance mechanisms depending on the program and/or circumstances;
- Coordinates the development, revision and proofreading of calendar related and other marketing materials for IECC. This includes gathering and disseminating information, ensuring consistency and compiling data. It involves liaison with members of the department, other departments in the college as well as the Indigenous community partner(s);
- Assists chairs, program leaders and other personnel in the marketing and implementation of current and new programs. This includes monitoring and/or maintaining data bases of student enrolment reports and program wait lists; participating in open house; organizing career fairs; developing and maintaining brochures and information sheets, advertising, etc.;
- Assists chair and program leaders in the collection of data to coordinate the preparation of timetabling, exam schedules, and text orders which involves liaison with various college departments, and the wider college community;
- Coordinates and disseminates a variety of information such as current and accurate program and course information, promotional materials, course packages, technological supports and materials,
- Coordinates classroom allocations and technical supports which involves liaison with Data Management and including may include connecting with IECC community partner(s);
- Ensures the dissemination of relevant information to appropriate college personnel and the IECC community partner(s);
- Compiles data, produces statistics and generates reports regarding student enrolment, enrolment projections, and distance learning courses;
- Assists in the orientation of new faculty and staff for IECC;
- Liaises and problem-solves with Indigenous Advisors, other college student service departments, and community support personnel;
- Acts as liaison within the particular program, IECC, other college departments, and Indigenous community partner(s);
- Facilitates and documents the collection of information necessary for the provision of special financial supports for students of the particular program;
- Assists chairs, program leaders with the awards selection process;
- Assists in the data collection for faculty evaluations;
- Facilitates, organizes and supports special events such as graduation/awards ceremonies, program orientations, information sessions, education fairs and cross-school events, as well as other large, multitask projects;
- Participates on appropriate college, departmental or community committees/meetings as requested;
- Performs a variety of clerical duties as required;
- Performs other related duties similar in scope and complexity.
Qualifications
An appropriate diploma and four years relevant experience, two of which include working with Indigenous communities and people, and two years of which are relevant experience in a technical or post-secondary environment or an equivalent combination of education and experience;
- Knowledge of local Indigenous communities and organizations including experience working within an Indigenous/non-Indigenous partnership, as relates to adult education;
- Knowledge of and demonstrated sensitivity to the cultural and learning needs of Indigenous students, of applicable resources, as well as the diverse complexities involved in Indigenous cultural practices and protocols;
- Proven communication and interpersonal skills with a demonstrated ability to relate well, and work effectively with indigenous students, faculty and Elders as well as the general public and the wider college community;
- Ability to build reciprocal relationships with Indigenous communities with an understanding of the community partner’s worldviews;
- Demonstrated exceptional administrative support skills including the ability to work independently, deal effectively with non-routine matters and confidentiality, coordinate various activities or events, take responsibility, display initiative, problem solve, and make independent decisions;
- Ability to prioritize and work well under pressure, meet deadlines while recognizing changing priorities;
- Advanced knowledge of MS Office suite, college integrated database system (Colleague) and other college web-based applications, and basic level technical troubleshooting in online learning platforms, in a networked computer environment.
