Position Summary
We are seeking an experienced and highly organized Scheduler to oversee staffing schedules for multiple group home locations that provide 24-hour care and support to youth with behavioral, emotional, and complex needs. The Scheduler plays a critical role in ensuring appropriate staffing coverage across all sites, maintaining compliance with staffing requirements, and supporting operational continuity 365 days per year.
The successful candidate will have strong scheduling and workforce coordination experience, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Develop, maintain, and manage staff schedules for multiple group home locations operating 24 hours per day, 7 days per week, 365 days per year.
- Coordinate staffing coverage for eight-hour shifts, including days, evenings, nights, weekends, and holidays.
- Monitor staffing levels and proactively address scheduling gaps, vacancies, call-ins, and last-minute changes.
- Coordinate replacement staff and overtime coverage when required.
- Ensure schedules align with organizational policies, staffing ratios, employment standards, and strategic needs as directed.
- Maintain accurate scheduling records and staffing reports.
- Communicate schedule changes and staffing updates to managers, supervisors, and frontline staff in a timely manner.
- Work collaboratively with program managers and leadership teams to anticipate staffing needs and support operational requirements.
- Track employee availability, vacation requests, leaves of absence, training schedules, and other staffing considerations.
- Identify scheduling efficiencies and recommend process improvements.
- Support payroll preparation by ensuring scheduling records are accurate and up to date.
Qualifications
Required
- 3–5 years of scheduling, workforce planning, or staffing coordination experience.
- Experience managing schedules for multiple locations and/or 24-hour operations.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage competing priorities and respond effectively to urgent staffing needs.
- Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
- Excellent verbal and written communication skills.
- Strong problem-solving and decision-making abilities.
Preferred
- Experience working in social services, residential care, healthcare, community services, or a similar 24/7 environment.
- Experience using scheduling software such as Deputy.
- Knowledge of staffing ratios, workforce management practices, and employment standards legislation.
