Overview
We are seeking a dedicated and detail-oriented Family Legal Assistant who is fluent in Mandarin to join our dynamic legal team. A large portion of our clients are Chinese-speaking, so fluent Mandarin is essential for this role.
In this vital role, you will be the first point of contact for our clients and will provide comprehensive administrative and legal support to our family law practice, ensuring smooth case management and exceptional client service. Your energetic approach and organizational skills will help facilitate efficient case workflows, from client intake and telephone communication through to document preparation and court filing. Responsibilities
Client Communication
- Answer, screen, and direct a high volume of incoming telephone calls professionally in both Mandarin and English
- Serve as the first point of contact for clients calling and visiting the office, taking accurate messages and following up promptly
- Book, confirm, and reschedule client consultations and appointments, and manage the reception area
- Coordinate client interviews and gather relevant information through effective interviewing techniques while maintaining professional phone etiquette
- Follow up with clients regarding documents, appointments, payments, and outstanding items
Court and Third-Party Communication
- Communicate with court staff, court offices, opposing counsel, process servers, and other third parties by telephone and email
- File documents with the court through the Justice Services Online portal and in person as required
- Arrange for service of documents and prepare affidavits of service
- Schedule and coordinate court appearances, case conferences, motions, and mediations
- Track court dates, service deadlines, and limitation periods, and bring them to the lawyer's attention in advance
Documents and File Management
- Assist lawyers with preparing legal documents, including pleadings, applications, answers, motions, financial statements, affidavits, and correspondence, ensuring accuracy and adherence to legal standards
- Open new files, complete client identification and conflict checks, and prepare retainer packages
- Manage and maintain organized, up-to-date electronic and paper case files
- Perform data entry and clerical tasks such as filing, scanning, and organizing documents for easy retrieval
- Proofread all documents meticulously to ensure clarity, correctness, and consistency before submission
- Prepare, send, and respond to routine correspondence and emails in English
- Support case management by tracking deadlines, scheduling appointments, and handling multiple files simultaneously
Requirements
- Fluent spoken Mandarin is required — a large portion of our clients are Chinese-speaking and most client calls are conducted in Mandarin
- Professional written and spoken English, with the ability to draft and reply to routine emails independently
- Comfortable handling a high volume of telephone calls, including with clients who may be under stress
- Previous administrative experience, preferably in a legal or professional office
- Strong organizational skills and attention to detail, with the ability to manage multiple files at once
- Able to learn new procedures and systems independently and work at a fast pace
