Overview
The Buyer is responsible for supporting the procurement and supply chain functions by sourcing materials, processing purchase orders, maintaining inventory levels, and coordinating with vendors to ensure the timely delivery of goods and services. This role works closely with Operations, Manufacturing, Service, Parts, and Sales teams to support daily business requirements while maintaining cost-effective purchasing practices and strong vendor relationships.
Purchasing & Procurement
- Process Requests for Quotes (RFQs) and solicit competitive pricing from approved vendors.
- Create, issue, and maintain purchase orders in accordance with company purchasing policies.
- Review purchase requisitions for completeness, accuracy, and proper authorization.
- Source materials, components, equipment, consumables, and subcontracted services as required.
- Assist in evaluating supplier pricing, lead times, quality, and service performance.
- Support strategic sourcing initiatives and vendor consolidation efforts.
Vendor Management
- Maintain regular communication with suppliers regarding pricing, availability, lead times, and order status.
- Follow up with vendors on open purchase orders and outstanding quotations.
- Expedite materials and services to meet operational, manufacturing, and project schedules.
- Resolve vendor-related issues including shortages, shipping discrepancies, damaged materials, invoice discrepancies, and delivery delays.
- Maintain accurate supplier records and contact information.
Inventory Management
- Monitor inventory levels and stock requirements to support service, manufacturing, and project operations.
- Coordinate replenishment of inventory items to maintain appropriate stocking levels.
- Review inventory reports and identify slow-moving, obsolete, and critical stock items.
- Assist with cycle counts, physical inventories, and inventory accuracy initiatives.
- Collaborate with Operations and Parts personnel to forecast future inventory needs.
Operations & Project Support
- Coordinate material deliveries to support project schedules, manufacturing production, and field service requirements.
- Work closely with Operations, Manufacturing, Parts, and Service teams to ensure material availability.
- Monitor critical orders and proactively communicate potential supply chain risks.
- Assist with planning and scheduling activities related to material procurement.
- Support continuous improvement initiatives within purchasing and inventory management processes.
Administrative Responsibilities
- Maintain accurate purchasing records, supplier documentation, and procurement files.
- Ensure purchasing transactions are properly entered and maintained within the ERP system.
- Assist with invoice and purchase order reconciliation when required.
- Generate reports related to purchasing activity, supplier performance, and inventory management.
- Perform other duties as assigned.
Qualifications
Education & Experience
- Associate degree in Business, Supply Chain Management, Operations Management, or a related field preferred.
- 2-4 years of purchasing, inventory, procurement, or supply chain experience preferred.
- Experience in industrial services, manufacturing, construction, crane service, heavy equipment, or related industries is a plus.
Knowledge, Skills, and Abilities
- Understanding of purchasing principles, inventory management, and supply chain processes.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Strong problem-solving and vendor negotiation abilities.
- Ability to work independently and collaboratively across departments.
- Proficient in Microsoft Office Suite, particularly Excel.
- Experience with ERP and MRP systems preferred.
- Experience with Microsoft Dynamics NAV (Navision) and Viewpoint Vista strongly preferred.
- Ability to analyze purchasing and inventory data to support business decisions.
