Job Summary
We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires proficiency in office management, data entry, and effective communication skills to support the smooth operation of our office.
Duties
- Greet and assist clients and visitors at the front desk with a warm and professional demeanor.
- Manage incoming calls, emails, and correspondence, directing them to the appropriate personnel.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Utilize QuickBooks for basic bookkeeping tasks as needed.
- Organize and maintain files, ensuring all documents are easily accessible and properly archived.
- Proofread documents for accuracy and clarity before distribution.
- Support the administrative team with various office tasks, including scheduling appointments and managing calendars.
- Assist in maintaining a clean and organized office environment.
- Utilize Google Suite applications for document creation, spreadsheets, and presentations.
Qualifications
- Previous experience in a front desk or administrative role is preferred.
- Strong organizational skills with an ability to manage multiple tasks effectively.
- Excellent typing skills with attention to detail for data entry tasks.
- Familiarity with Google Suite applications (Docs, Sheets, Drive) is required.
- Strong proofreading skills to ensure high-quality documentation.
- Ability to communicate clearly and professionally with clients and team members.
- A proactive approach to problem-solving with strong decision-making capabilities.
