Our client outside of Waterloo, is looking for a Senior Project Coordinator to join their team in a full-time permanent role!

As the Senior Project Coordinator, you work hands-on with the customer to ensure their product is ordered, shipped and delivered to its destination! You will also ensure that documentation is maintained, the project is in compliance and invoicing of project costs are done on time!
SKILLS AND QUALIFICATIONS:
- Post-secondary education in Business Administration, Finance, Accounting, Operations, or a related field, or an equivalent combination of education and relevant experience.
- 3–5 years of experience in project coordination, project administration, operations, business administration, or a related role.
- Demonstrated ability to coordinate multiple projects, and deliverables simultaneously and within timelines.
- Experience maintaining project tracking, reporting and entering project information into the information management system.
- Proficiency with Microsoft Office, particularly Excel, including the advanced ability working with spreadsheets, extracting data and analyzing the data.
- Experience with accounting software such as QuickBooks Online would be an asset.
- Ability to review and interpret contracts, agreements, policies, and regulatory or partner requirements, with the judgment to identify matters requiring escalation.
- Interest OR Experience working with wind, solar, renewable energy, electrical, construction, or equipment sales and installation would be considered a strong asset.
- Experience with purchasing, shipping, logistics, and related documentation would be an asset.
- Skills in project budgeting, cost tracking, revenue monitoring, variance analysis, and margin reporting would be an asset.
- Strong analytical and problem-solving skills, with the ability to identify risks and take appropriate action.
- Excellent organizational and time-management skills, with strong attention to detail
- Strong written and verbal communication and interpersonal skills, with the ability to effectively liaise with employees, customers, and other project stakeholders.
- A proactive, dependable, and results-oriented approach, with the ability to follow through on commitments and meet deadlines.
- Teamwork, humour and flexibility/ adaptability are all important skills to be successful in this role.
- Knowledge of occupational health and safety requirements and ability to maintain workplace health and safety policies and procedures.
RESPONSIBILITIES:
- Assist the Sales function with estimate preparation, documenting suppliers, timelines and logistics.
- Develop project budgets and monitor costs and revenues to prepare variance analysis and margin reports.
- Create purchase orders and other documentation as necessary to meet project objectives.
- Liaise with staff and project stakeholders, for status updates and to identify and resolve risk
- Maintain up-to-date project status and report any outstanding issues.
- Create and implement a regular schedule of project reports including accounting reporting
- Coordinate timing and information submissions for insurance renewals on a timely basis.
- Assist with the drafting and reviewing of contract terms related to projects and partnerships, ensuring company best interests are maintained.
- Manage input to insurance coverage and other contract management systems
- Maintain industry knowledge and contacts to ensure that our practices meet industry standards, including working and selling to other countries.
- Support the in-bound and out-bound shipping function with period trouble-shooting, expediting and document preparation.
- Assist with the integration of project management and shipping to the QuickBooks Online accounting processes.
