As we continue to grow, we are seeking an experienced Clinic Operations Manager to lead the day-to-day operations of our clinic while helping drive strategic growth and continuous improvement.
Position Summary
Reporting directly to the Clinic Ownership and Medical Director, the Clinic Operations Manager will oversee all non-clinical operations of the practice. This individual will be responsible for leading the administrative team, optimizing clinic performance, improving patient experience, supporting physicians, and ensuring compliance with healthcare regulations.

Key Responsibilities
Operations Leadership
- Oversee the daily operations of the clinic
- Ensure efficient patient flow and appointment scheduling
- Develop and improve operational policies and procedures
- Identify opportunities to improve efficiency and patient experience
- Monitor clinic performance and operational KPIs
Human Resources
- Lead, coach and supervise Medical Office Assistants and administrative staff
- Recruitment, onboarding and training of new employees
- Conduct performance reviews and ongoing coaching
- Develop staff schedules and ensure adequate coverage
- Foster a positive, accountable and collaborative workplace culture
Physician Support
- Coordinate physician schedules and clinic coverage
- Support onboarding of new physicians and allied health professionals
- Assist physicians with operational issues
- Facilitate communication between physicians and administration
Financial & Business Operations
- Monitor clinic productivity and operational performance
- Assist with budgeting and expense management
- Review uninsured billing processes
- Monitor inventory and purchasing
- Work with ownership to improve operational efficiency and profitability
Compliance & Quality
- Ensure compliance with CPSA standards, HIA, privacy legislation, and clinic policies
- Maintain clinic policies and standard operating procedures
- Participate in quality improvement initiatives
- Coordinate accreditation and regulatory activities when required
- Experience with CPAR
Patient Experience
- Lead service recovery for patient concerns
- Monitor patient satisfaction and online reputation
- Improve front-desk workflows and communication
- Promote a culture of exceptional customer service
Strategic Growth
- Assist with new physician recruitment and onboarding
- Support marketing initiatives and community engagement
- Participate in expansion projects and implementation of new services
- Lead operational change initiatives
Qualifications
Required
- Minimum 2 years of healthcare management experience
- Experience leading medical office or clinic teams
- Strong leadership and interpersonal skills
- Excellent organizational and problem-solving abilities
- Experience with Electronic Medical Records (EMRs) HealthQuest and Netcare
- Knowledge of Alberta healthcare operations
- Strong communication and conflict-resolution skills
- High level of professionalism and integrity
Preferred
- Experience managing Family Medicine or Walk-In Clinics
- Knowledge of Alberta physician billing and clinic workflows
- Experience in quality improvement initiatives
- Healthcare Administration or Business Management education

Responsibilities
- Oversee daily clinic operations, including patient scheduling, billing, and record management
- Supervise clinical and administrative staff, providing leadership and performance evaluations

- Manage electronic medical records systems such as HealthQuest and Netcare
- Coordinate staffing schedules, training sessions, and professional development activities
- Monitor clinic budgets, supplies inventory, and procurement processes to optimize resource utilization
- Implement policies and procedures to improve workflow efficiency and patient satisfaction
- Collaborate with healthcare providers to facilitate smooth communication between clinical teams
- Handle patient inquiries, resolve complaints, and ensure a positive patient experience
- Maintain up-to-date knowledge of medical terminology, clinic protocols, and acute care practices
Skills
- Proficiency in HealthQuest and Netcare
- Strong background in human resources management within healthcare settings
- Extensive experience in dental or medical office administration
- Supervising experience with a proven ability to lead multidisciplinary teams
- Familiarity with electronic medical records systems and healthcare IT infrastructure
- Knowledge of medical terminology relevant to primary care clinics.
- Experience in budgeting, financial planning, and resource management within a healthcare facility
- Previous clinical or nursing experience is a plus for understanding complex healthcare workflows
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills for liaising with staff, patients, and external partners
