Job Summary
We are seeking a professional and organized Receptionist/Administrator to join our RV team. The ideal candidate will serve as the first point of contact for visitors and callers, manage administrative tasks efficiently, and support the overall operations of the office. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office software. The Receptionist/Administrator will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations across departments.
Duties
- Greet visitors and clients in a friendly and professional manner at the front desk
- Answer multi-line phone systems promptly and courteously, directing calls as needed
- Manage appointment scheduling and coordinate calendars for staff and clients
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, record keeping, and document management to ensure organized records
- Assist with administrative support including proofreading documents, preparing correspondence, and managing mail
- Support bookkeeping activities such as invoicing, billing, and basic financial recordkeeping
- Maintain office supplies inventory and place orders when necessary
- Provide exceptional customer service to clients, vendors, and visitors at all times
- Support medical or dental office operations if applicable by managing patient records and appointment coordination
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software is preferred
- Strong computer skills including data entry, file management, and document proofreading
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette
- Clerical experience in an office setting is highly desirable; experience in medical or dental offices is a plus
- Ability to handle multi-line phone systems confidently and professionally
- Strong typing skills with attention to detail for accurate data entry and correspondence
- Ability to maintain confidentiality of sensitive information and demonstrate professionalism at all times
