Applications are invited for the position of Administrative Assistant, International Student Services in the International Division, located at the Welland Campus. The starting salary is $25.63 /hr for a 35 hour work week. Additional hours may be required as necessary.
Reporting to the Associate Director, International Student Services, the successful candidate provides administrative support for the various teams including international student advisors, social activities and engagement team, international finance, and housing and settlement. Additionally, the incumbent will provide clerical and administrative support to the associate director to ensure smooth and efficient daily operations. The candidate works independently and must exercise initiative and good judgment. The incumbent must be a customer service professional who is culturally sensitive and confidential in dealing with college staff and students.
Responsibilities include, but are not limited to:
Provide administrative support to the Associate Director, International Student Services and greater International Student Services team members
Supports the daily operations for the international student services department
Assists with the operations of the department by arranging meetings, virtual calls and communications as needed
Gathers and researches information, compiles, and analyses and generates reports arising from the daily operation of the office (payroll, absentee, vacation, budget revisions, enrollment data, and summaries). Liaises with Human Resources, Payroll and Accounting if discrepancies occur
Provides support for the effective day-to-day functions of the department by supporting part-time and full time staff including correspondence, report writing, filing, appointments, expenses, purchases, account records and mailings.
Coordinates the new employee process for all new hires
Liaises with other managers, deans, directors, assistants, all program areas and a wide variety of College departments/divisions to exchange information pertinent to the operation of the department.
Minimum two (2) year diploma in Office Administration, Business or similar field of study
Three (3) years experience in office administration in an educational, government, or large business environment
Demonstrated communication, organizational, problem solving and prioritizing skills in a cross cultural setting
Extensive knowledge of MS Office (Word, Outlook, Excel and Power Point) as well as database management experience, desktop publishing would be an asset
Experience with Oracle systems such as PeopleSoft, Blackboard, and Salesforce systems
Proven abilities to work independently, exercising initiative and good judgment, sensitivity and confidentiality in dealing with college staff, students, the general public and industry representatives
Strong customer service and public relations/interpersonal skills
Sound understanding of accounting principles demonstrating attention to detail
Second language ability considered an asset
