Hospitality Assistant & Coordinator

Position Overview
GS Hospitality Group is seeking an organized, motivated, and adaptable Hospitality Assistant & Coordinator to join our growing team.
This is a dynamic, full-time position based on Mid Vancouver Island that will work closely with company leadership and assist with a wide variety of projects across our hospitality portfolio.
Rather than being limited to one department, property, or area of hospitality, this position offers exposure to hotels, restaurants, events, sales, marketing, administration, operations, community partnerships, business development, and new company initiatives.
The successful candidate will help coordinate projects, support day-to-day administrative needs, assist with sales and marketing initiatives, communicate with clients and properties, conduct research, and help leadership move projects forward.
This is not intended to be a static position. GS Hospitality Group is continuing to grow, and we are looking for someone who wants to grow with us.
As the successful candidate develops their skills, demonstrates their strengths, and becomes familiar with our businesses, there will be opportunities to take ownership of projects, expand their responsibilities, specialize in areas of interest, and potentially advance into more senior coordination, management, sales, operations, or corporate roles within the company.

No two days will necessarily look the same. One day you may be assisting with a corporate hotel account, the next helping coordinate an event or marketing campaign, researching a new business opportunity, preparing a proposal, visiting one of our properties, or helping organize an operational project.
Occasional travel throughout British Columbia, Alberta, and Saskatchewan may be required for property visits, meetings, networking events, industry functions, and special projects.
Key ResponsibilitiesAdministrative & Project Coordination
- Provide administrative and organizational support to company leadership.
- Assist with coordinating projects across hotels, restaurants, event facilities, and other hospitality businesses.
- Prepare proposals, contracts, rate agreements, presentations, reports, and professional correspondence.
- Help organize meetings, appointments, property visits, deadlines, and follow-up activities.
- Maintain accurate company records, client information, contact databases, and project documentation.
- Conduct research and gather information to support business decisions and new initiatives.
- Assist with special projects, new openings, company initiatives, and business development opportunities as they arise.
- Communicate with managers and teams across multiple properties to help keep projects moving forward.
- Help ensure company information, promotional materials, documents, and records remain accurate and up to date.
Sales & Business Development Support
- Assist with developing and maintaining corporate accounts for business travel, project crews, government agencies, sports teams, group accommodations, and other clients.
- Support efforts to increase hotel room nights, restaurant business, group bookings, events, and other revenue opportunities.
- Assist with lead tracking, sales follow-up, client communications, and reporting.
- Help identify new business opportunities through research, referrals, networking, prospecting, and community engagement.
- Participate in sales calls, client visits, networking meetings, presentations, and property tours.
- Assist with preferred rate agreements and corporate partnership opportunities.
- Promote accommodations, restaurants, meeting spaces, catering, events, and other services throughout the GS Hospitality portfolio.
Marketing, Events & Community Engagement
- Assist with marketing initiatives, promotional campaigns, sponsorships, contests, and community partnerships.
- Help coordinate promotional materials and marketing projects across different properties.
- Support company participation in community events, trade shows, tourism functions, and networking opportunities.
- Assist with special events and hospitality initiatives as required.
- Identify opportunities to strengthen awareness of our properties and brands within their communities.
Relationship Management
- Build and maintain positive relationships with corporate clients, community organizations, tourism partners, vendors, and local businesses.
- Provide professional, friendly, and timely communication in all interactions.
- Work closely with hotel, restaurant, and operational teams to support company initiatives.
- Help strengthen relationships that generate repeat business, referrals, and long-term partnerships.
Operations & Special Projects
- Gain hands-on exposure to the operations of multiple hospitality businesses within the company.
- Assist leadership with operational projects, research, planning, and implementation.
- Help identify opportunities to improve processes, guest experiences, and business performance.
- Support new property initiatives, programs, promotions, openings, acquisitions, and other projects as the company continues to expand.
- Take on additional responsibilities based on company needs, personal strengths, performance, and areas of interest.
- Develop the knowledge and experience needed to take on increasingly independent projects and responsibilities over time.
Qualifications
- Previous experience in hospitality, tourism, hotels, restaurants, guest services, customer service, administration, sales, or a related field is preferred.
- Hospitality industry experience is considered a strong asset.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Strong interpersonal and relationship-building skills.
- Comfortable communicating with clients, managers, vendors, and community partners.
- Self-motivated, proactive, resourceful, and eager to learn.
- Ambitious and interested in professional growth and advancement.
- Comfortable taking on new projects and learning unfamiliar areas of the business.
- Ability to manage multiple priorities in a fast-paced and changing environment.
- Strong problem-solving skills and the ability to take initiative.
- Willingness to take on increasing levels of responsibility as experience and confidence grow.
- Proficiency with Microsoft Office and general computer systems.
- Experience with hotel systems, CRM platforms, marketing tools, or sales software is considered an asset.
- Valid driver's licence and willingness to travel periodically throughout Western Canada.
