Student Success Services is seeking a compassionate, organized, and student-focused Office Assistant to provide frontline and administrative support to students accessing academic, personal, and career success resources. This role supports the daily operations of Student Success Services by assisting with student intake, appointment scheduling, record maintenance, and creating a welcoming and supportive environment that promotes student engagement and success.
Qualifications:
- Two-year Diploma in Office Administration, Social Service Worker, Public Administration, Business, Education Support, or a related discipline.
- Minimum two years of recent administrative support experience in a fast-paced, computer-automated office environment requiring a high level of accuracy and professionalism.
- Experience providing support to diverse student populations and working effectively in a multicultural and inclusive environment.
- Understanding of and commitment to supporting students facing academic, personal, financial, accessibility, or other barriers to success.
- Strong technology, data management, and information management skills.
- Excellent customer service, communication, and interpersonal skills.
- Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
- Sound judgment, problem-solving abilities, and the capacity to work independently and collaboratively within a team environment.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and student information systems.
- Ability to reliably commute daily to North Bay, ON.
Responsibilities:
- Provide front desk coverage and serve as the first point of contact for students, staff, and visitors by greeting individuals, answering inquiries, and directing calls, emails, and walk-in requests.
- Assist students with intake and registration processes for Student Success programs, services, and supports.
- Schedule appointments for Accessibility Advisors, Mental Health & Well-being Therapist/Nurse staff and other Student Success team members as required.
- Maintain accurate and confidential student records, filing systems, databases, and electronic documentation.
- Enter and update student information, upload documents, prepare reports, and track service usage statistics.
- Assist students with accessing online resources and forms.
- Support the coordination and promotion of workshops, events, orientation activities, and student success programming.
- Monitor and maintain office supplies, resource materials, and reception area organization.
