We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office environments is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
- Greet visitors and clients in a courteous and professional manner at the front desk
- Manage multi-line phone systems, directing calls appropriately and taking messages as needed
- Schedule appointments and maintain calendars using Microsoft Office, Google Workspace, or specialized scheduling software
- Perform data entry tasks accurately using computer skills, including typing, proofreading, and updating records
- Handle filing, document management, and organization of office supplies
- Assist with administrative duties such as billing, bookkeeping with QuickBooks, and basic bookkeeping tasks
- Support customer service efforts by addressing inquiries promptly and professionally
- Maintain a clean and organized reception area to ensure a welcoming environment
- Collaborate with team members to support office operations and ensure efficient workflow
Qualifications
- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
- Experience with QuickBooks or similar bookkeeping software is desirable
- Excellent customer service skills with professional phone etiquette
- Organizational skills with attention to detail for proofreading and filing tasks
- Ability to handle multi-line phone systems efficiently and manage multiple priorities simultaneously
- Strong typing skills with accuracy and speed
- Previous experience in medical or dental office environments is a plus but not mandatory
- High school diploma or equivalent required; additional administrative training is advantageous
