What you can expect in a typical day:
We have an exciting opportunity for an individual with an interest in real estate and contract execution. This individual will have a great attention to detail, ability to multi task and thrive in a fast-paced environment. The Leasing Coordinator will be responsible for tenant inquiries, document preparation, validating contracts and order-to-cash services. Other duties are required including negotiation of contracts and working closely with internal and external customers. Responsible for lease payable data integrity, incorporated in lease management contract system and reporting. Contracts include: new leases, lease renewals and amendments.

What you’ll need to succeed:
Fostering long lasting relationships with co-workers and valued clients
Analyze reports to identify team performance metrics
Recommend and implement improvements to team reporting
Prepare monthly rent payable rent rolls
Review and prepare annual operating budget numbers/inputs
Adjust rent installments and projected payables
Collaborate with manager to develop real estate metrics for team metrics
Draft, negotiate and finalize contractual real estate agreements, knowledge of when to escalate matters to management
Redline and compare legal documentation
Interpret, summarize and communicate various technical provisions in contracts
Ensuring parties understand their rights and obligations under agreements
Track key lease dates, milestones and property rights provided to Irving (Rights of First Refusal, Rights of First Offer, Purchase Options)
Work with teams across Irving Oil to ensure adherence to lease agreements and to hold teams accountable.
Regularly communicate to landlords and legal counsel
Provide direction to accounting to ensure company recovers property expenses and pays rents in accordance with contractual obligations
Integrate new landlord and dealer contracts into contract management network.
Integration to encompass landlord set-up, rent and term acknowledgement
Obtain landlord consent for capital projects at leased retail sites
Find synergies and alignment where possible between SalesForce and Yardi
Responsible for managing payable lease files (hardcopy and electronic)
Participate in process improvement initiatives and special projects as required


Minimal travel in Canada and United States

Education and experience

Post-secondary education business or similar
Ability to multi-task in a fast-paced environment
Strong communication skills both oral and written
Strong interpersonal skills with the ability to build internal and external relationships
5 or more years of property management, contract management and/or legal experience considered an asset.
Ability to understand and interpret legal contracts and asset
Strong excel knowledge
Basic accounting knowledge considered an asset
Knowledge of Yardi considered an asset
Bilingualism considered as asset but not necessary
